Join nowHOW DO YOU KEEP ACCOUNTS FROM DUPLICATING WHEN IMPORTING A NEW IIF FILE or one you redid to fit your needs
Thanks for visiting the Community, @lrhmail451. The best way to keep accounts from duplicating is to ensure all accounts in your .iif file created in QuickBooks is identical with the data before importing them.
Each time you import a file, you will see the account information needed when the account is not yet set-up. You can check out individual sample IIF files in this help article: IIF Overview: import kit, sample files, and headers. Each sample file contains text document with instructions and tips before opening them.
Here are our great resources that can help you learn about the basic information about .IIF files, and the different ways to import and export data in QuickBooks Desktop:
Let me know if you have additional questions. I'll be looking forward to helping you more.
what is happening is I am taking the accounts in QB and I have created subaccounts for half of them
once I import them in I see the import and the old file still there the import account has an asterisk by it
how do I stop that
there are 580 subaccount I am trying to import
Hello lrhmail451,
The duplicates occur if the accounts you're importing are not entirely identical to the existing ones in QuickBooks Desktop. There might be differences with the Descriptions, amounts, numbers, and other necessary details.
To get rid of the duplicate imported accounts, we can merge them to the correct ones. You can follow the detailed steps in this article: Merge Accounts, Customers, and Vendors.
Remember that merging the accounts is irreversible. Thus, I'd recommend creating a backup copy of your company before doing it.
Make sure to take note of the details the next time you import the accounts. If the same thing happens, you can also contact our Customer Service Support Team. They can help you review your file and ensure that everything is already set.
Let us know if you require any assistance. Have a great day!
what is the best way to create subaccounts
when the accounts are already in the chart accounts if you are working with 500 accounts to put in subaccounts
Thanks for getting back to us, @lrhmail451.
You're already on the right track! Since you're working with a large number of accounts, the best way to create those subaccounts is by importing them. Just ensure that the information in the IIF file is identical to what you have in QuickBooks Desktop (QBDT), as mentioned by my colleague James above. This will prevent the QB from creating duplicates.
Here's how to edit an IIF file:

Let me route you to the right support, @lrhmail451.
The steps provided by my colleague above can fix the duplicate transactions in QuickBooks. Since you're still experiencing the same thing after trying out the steps above, I'd recommend contacting our QuickBooks Care Support. They have full access to pull up your account in a secure manner and they'll be able to remove the duplicate transaction on your account.
Here's how:
Just a heads up, we have limited staffing and have reduced our support hours to 6 AM-6 PM PT Monday-Friday due to COVID-19. We will resume normal hours as soon as possible.
For additional reference, I've attached an article about how to import and export IIF files to and from QuickBooks Desktop: Export, import, and edit IIF files.
