I only have access to a Desktop Pro 2019 QB portable file and need to export to the QB online trial account I set up. What steps do I take?

I can guide you on how you can export your portable file data into QuickBooks Online, kpagaduan12,

 

Since you only have access to your Desktop portable file, you can download a trial version of QuickBooks Desktop. For the steps and details, you can check out this article: Download a trial of QuickBooks Desktop.

 

Then, open the portable company files in the Desktop trial version. Just follow the steps in the Step 4: Open a portable company file section in this article: Create and open portable company files in QuickBooks Desktop.

 

If you encounter an issue when opening the portable file, you can check out this article to troubleshoot the problem: Fix portable company file issues in QuickBooks Desktop.

 

Once done, you can start importing your QuickBooks Desktop company file into QBO: Just follow the detailed steps in the Move your QuickBooks Desktop file to QuickBooks Online article.

Can I use DTPro 2020 trial or have to use 2019 trial since the QBM file is 2019?

You'll want to download the QuickBooks Desktop 2019 trial version first, kpagaduan12.

 

Once you open the portable file, there will be a prompt if you want to update to the latest release.

 

Just follow the steps provided by my colleague above, then proceed to the update for QB2020.

Hey there,  kpagaduan12,

 

The only available trial link you can use is the 2020 version of QuickBooks Desktop (QBDT) Pro.

 

You can use this version to restore the 2019 file and upgrade it from there. This way, you'll be able to import the data to QuickBooks Online (QBO).

 

However, I suggest contacting the Intuit Hosting Service Team through email if you're using their service to run the program. By doing so, they'll be able to upgrade the file for you.

 

Otherwise, please follow the steps outlined below for your guidance:

  1. Download and install QBDT Pro 2020.
  2. Sign in to Windows as an admin user.
  3. Follow the steps to install your new version.
  4. In QuickBooks, go to File, then select Open or Restore Company.
  5. Choose Restore a portable file, then select Next.

  6. Locate the 2019 file, then you'll be asked to upgrade it.
  7. Before you upgrade, QuickBooks automatically creates a backup of your existing company file. You can select Change this default location to save the backup in a specific folder.
  8. Click Update Now to start the process.
  9. Select Done after that.

Just a heads up, know what  data aren't converted when you migrate to QBO. Check this out: What to expect when you switch from QuickBooks Desktop to QuickBooks Online for more details.

I have followed the steps and have QB Pro Desktop but am unable to view the company info. 

I responded to your last email to provide you with a screen print of what I have, as I have been unable to paste copy in this reply.

I have followed the steps and have QB Pro Desktop but am unable to view the company info.

It looks like I'm unable to open the link to the attachment that you shared, kpagaduan12.

 

If you're unable to locate the portable file, you can perform a wildcard search to look for it. Here's how:

 

  1. Click the Start or Windows menu.
  2. In the Search programs and files field, look for *.qbm

Please make sure to include the Asterisk (*) key to ensure the search works. 

 

If you're unable to open the company file due to password issues, use the Automated Password Reset Tool. This will allow you to remove the old password and create a new one. Here's the link to the tool: https://passwordreset.quickbooks.com/app/qbdt/passwordreset.

 

If you're already in the QBO login page, use the Account Recovery site to resolve the issue. Just enter your phone number, email address, or User ID so we can send the instructions on how to recover your account. You can access it here: https://accounts.intuit.com/account-recovery.html.

I still need help.  Is there a number I can call or have someone call me ?  

 

I have the portable file downloaded and ready to load to the company file in QB Pro (trial) I have.  I did not activate (register) QB Pro (trial) because the instructions said not to do so.  

 

Once again, the goal is to move the portable file data to QB Pro (trial) and then move to QB online account I established initially.

Hi there, @kpagaduan12.

 

Allow me to step in and help you move portable files to your QuickBooks Desktop (QBDT) Pro, then move it to your QuickBooks Online (QBO).

 

First off, you'll have to open the portable version of your company file, then open your QBDT Pro and log in as an admin. Once logged in, you can restore the portable file from there. Here's how:

 

  1. Go to the File menu.
  2. Select Open or Restore Company.
  3. Click Restore a portable file, then select Next.
  4. Choose your portable company file. Please make sure that you don't use the same name for your portable company file and regular company.
  5. Read the notes on the Where do you want to restore the file page, then select Next.
  6. Once you're ready to open your file, click Save.

Once done, you can now import the file to your QBO. Let me guide you how.

 

  1. Log in as an admin to your QBDT Pro.
  2. Go to the Company menu, then select Export Company File to QuickBooks Online.
  3. Click Start your export.
  4. Sign in to your QBO account.
  5. Select Yes if you track inventory in QBDT, then No if not.
  6. Click the Choose online company drop-down, and select the QuickBooks Online.
  7. Select Continue.
  8. Enter "Agree" in the text field, then click Replace.
  9. Click Yes, go ahead and replace the date, then choose Replace.

After completing the steps provided I received "Your data is now available on QuickBooks Online" notification.  I don't have access to view what was in the portable file and  I am unable to locate /verify that the data from the portable file was loaded.   Please advise.

"Your data is now available on QuickBooks Online." This notification tells us that you did a great job in following the instructions above to convert the portable file. 

 

Yes, you have the access to open the portable file. If not, you won't be able to proceed with the conversion. We just need to make sure that you've selected the correct file. 

  1. In QuickBooks Desktop, click on the File menu.
  2. Select Open Previous Company.
  3. Select the portable file. 1.PNG

Once done, let me guide you on how to verify if the data is successfully converted. Let's run the some financial reports in both platforms, desktop and online. This helps us to compare if the numbers are correct. 

 

Here's how to run the Trial Balance (you can also run the Profit and Loss or Balance Sheet):

  1. In QuickBooks Desktop, click on the Reports menu.
  2. Select Accountant & Taxes.
  3. Select Trial Balance
  4. Make sure to change the dates to All.
  5. Click on Refresh

Pull up the same report in your QuickBooks Online account. Here's how:

  1. Go to Reports from the left navigation tab.
  2. Search for Trial Balance.
  3. Select All Dates in the report period.
  4. Click on Run report

Compare the totals of each report. If both have the same number, then you're good to go. You can start setting up your QuickBooks Online account.

 

Otherwise, please review the details of the report in the desktop trial account. This way, we can check which transactions aren't converted. Then, we'll manually add them in your QuickBooks Online.
