They can’t access the same data file, fshcpa-1956.

One license is equivalent to one account. Since they have separate license, the rest should be invited by the owner of the data file that they need to access. The number of users to be invited will base on the plan type.

These are the steps on how to add a user:

  1. Go to the Company tab and select Set up Users and Password.
  2. Select Set Up Users.
    add user 1.jpg

  3. Click on the Add user button.

    add user 2.jpg

  4. Fill in the details, and then click Next.

    add user 3.jpg

  5. Choose the areas you wanted them to have access, and then click Next.

    add user 4.jpg

  6. Confirm the access to the user.

    add user 5.jpg

  7. Hit Finish.

    add user 6.jpg

You can add additional user after the transaction, just follow the steps I have provided.

For the number of users, you can check this link for the feature comparison in QuickBooks Desktop: https://quickbooks.intuit.com/desktop/.

I added this article to know more about the users and restrictions.

@fshcpa-1956

If those 4 license codes have the same edition and version (year), you may call and ask Intuit to merge them into 1 license code for 4 user seats.

Regarding multiple users on QB Desktop: Can they access the QB Desktop remotely & individually?

Also, Do different users have to access the desktop at different times or can it be accessed simultaneously?

Thank you!

@KLee-LLC

You may deploy a private cloud to access your company file remotely by the internet connection in multiuser mode.
