I'd like to share more insights about user permissions, hmccann.

 

QuickBooks Online (QBO) references one email address per user. However, you can accomplish this query if we use a different email for this user. One for Reports only and the other one for Time tracking only.

You can follow these steps to invite your user:

  1. Go to the Gear icon and then select Manage Users.
  2. Click Add user.
  3. Select the user type you want to create. 
  4. Enter your user’s name and email address, then select Save.

 

Additionally, I've included an article about the use of the audit log in QuickBooks Online. This helps you see who made changes to your books.

Let me share some information on how you can set-up specific user access in QuickBooks.

 

Depending on the QuickBooks version you're using, you can provision a specific custom user access in QuickBooks Online Advanced. However, if you're using the Plus and Essentials version, here are the types of user access you can provide:

  • Standard user - use this type to customize a user's access rights. (limited to only certain options; you cannot pick and choose from each section).
  • Reports only (QBO 's version of Read Only access)
  • Time Tracking only - they can see a special version that contains only timesheets and time reports for themselves. They have no access to any other feature within QBO.

Here's how to add a time tracking user:

  1. Go to the Gear ⚙ icon.
  2. Choose Manage Users.
  3. Select Add user.
  4. Mark Time tracking only.
  5. Select Next.
  6. Find the employee or supplier you want to add, select Next, then enter their contact info.
  7. Click Save

Thank you for your response. I have read all those articles. Am I able to set the same user up for Reports only and Time Tracking only?

Thank you for your response. I have read those articles. So my question now is, can I set up the same user as Reports Only and Time Tracking only? This sounds like it would accomplish what we need.
