Restricting user from switching to single user mode

This is a great idea for a new software feature, @csmyly.

I'm here to provide some details on how user access restrictions works in QuickBooks Desktop.

I can see how the ability to set your user’s access under multi-user by default can be convenient to all the users in your account. However, this feature is not yet available. I’d be glad to forward these suggestions to our Product Engineers for consideration in future updates.

You can also submit any suggestions, feedback and requests for product improvements. Here’s how:

  1. Click Help.
  2. Select Send Feedback Online.
  3. Choose Product Suggestion.
  4. Type in the  details of your request on the pop-out window.

On the other hand, let me share some resources on how you can set your company file to open in Multi-user by default. By doing so, whenever any of your authorized user access your company file, the multi-user mode will be enabled. You can perform the steps below on every workstation.

  • Ensure to to check the Open file in multi-user mode option. Here’s how:
  1. Go to the File menu.
  2. Choose Open or Restore Company.
  3. Select Open a company file.
  4. Click Next
  5. In the Open a Company window, check the Open file in multi-user mode box at the bottom.
  • Update the QBWUSER.INI file and then change the MULTIUSERMODE value. You can ask your IT professional to perform this action.

Here’s how:

  1. Navigate to the AppData folder.
    • The default location is C:\Users\(username)\AppData\Local\Intuit\(Your QuickBooks Desktop version)
  2. Look for QBWUSER.INI.
  3. Open it using Notepad.
  4. Press CTRL + F and then find MULTIUSERMODE
  5. Change the value to “Y” (MULTIUSERMODE=Y)
  6. Save the file.

To prevent this from reverting to its original value, here’s how:

  1. Right-click the QBWUSER.INI file.
  2. Select Properties
  3. Go to the General tab.
  4. Check the Read-only box.
  5. Click Apply.
  6. Hit Save

If you’re having difficulty with the steps above, I’d suggest contacting our Technical Support Team. They have the tools to access your account on a secured environment and further help you via secured remote access session.

Here’s how you can reach them:

  1. Click the Help menu.
  2. Choose QuickBooks Desktop Help.
  3. In the Have a Question window, click Contact us at the bottom portion of the screen.
  4. Click Search for something else.
  5. Type in a keyword about your concern.
  6. Hit Search.
  7. Click on Start a Message.

Let me know how it works on your end. I’m always here to help you set your user’s access and restrictions in QuickBooks Desktop.
