Setting up QB for dog club

Hi.  Has anyone set up books for a dog club?  I got a call this morning from my national breed club asking if I could take over their books.  I'm retired and haven't used QB in about 15 years so would like to set this up correctly from the start.  Does anyone have a chart of accounts for this purpose?  I'm assuming I should keep the main club's records separate from the annual specialties, and then roll in any profits from those back into the club?  The records are currently being kept on an excel spreadsheet so I'm truly starting from scratch.  Thank you!

While I cannot offer you a ready made chart of accounts I can assure you that you can add/edit accounts to suit your situation.

 

You can track special events with class tracking which can keep those included but separate for reporting purposes. Is the ub a registered 501c charitable organization? Charities can get the newest versions of quickbooks sometimes for just an administrative fee at techsoup.org. 

 

Do you need to keep track of sires, dams, and offspring or just human members? Since QB desktop list limits are pretty generous you might be able to do both.

 

A ProAdvidor might be first place to start. What breed is the club, you might get some volunteer help (I am partial to Golden Retreivers)

Thanks, John.  This would be for the national breed club for Japanese Chin.  A very small entity.  Probably talking about no more than $50K a year, if that.  No tracking of sires and dams or any of that.  Trying to think re income -- annual membership dues coming in via PayPal and profits from specialties maybe.  I asked the club president to send me a copy of the current excel spreadsheets so I can get an idea of what they're talking out.  She warned me there are double entries, incomplete entries so ?

I was thinking specialties should be handled separately as they sell merchandise to support it as well as sponsorship of prizes for various classes, and there are costs such as venues, awards, printing, etc.  Then I could run a report to see if the specialty was actually profitable, and roll that profit into the main club account.

 

I used QB for film accounting for about 20 years dealing with millions so this should be a piece of cake.  It's just a matter of reawakening my brain after 10 years of retirement.

 

I was just thinking of cold emailing a couple of dog club treasurers of other breeds to see how they approach it.  Thank you again.
