updating inventory -

company has a lot of inventory that needs to be updated- and several hundred items that will need to be added.   I have asked if i could be allowed to help enter the data.   Being told that inventory can only be updated by one person at a time - and only when everyone else is off the system.

is that correct?

Hi, @spirited-chemistry.

I'm here to provide information about updating inventory in QuickBooks Desktop (QBDT).

If your QBDT company file is a single-user license only, then yes. You can only enter or edit inventory one person at a time.

However, if you have more than one user license, you can switch to multi-user mode where you can log in to a company file on different computers at the same time.

Here's how to switch:

  1. In QBDT, go to the File menu at the top.
  2. Select Switch to Single-user Mode/Switch to Multi-user Mode.

For more information can do in single or multi-user mode, consider checking out this article: Features available and tasks you can perform in single or multi-user mode.

Once done, you can use the Add/Edit Multiple List Entries option to create or add multiple inventory. Here's how:

  1. From the Lists menu, select Add/Edit Multiple List Entries.
  2. From the List drop-down, choose the Item type (Service Items, Inventory Parts, Non-Inventory Parts, Inventory Assemblies) you want to add.
  3. To add items, select the first empty row at the end and begin making your entries. You can copy (Ctrl+C) data from Excel and paste (Ctrl+V) them into the Add/Edit Multiple list window.
  4. Click Save Changes.

To learn more about managing inventory items in QBDT, check out this article: Add, edit, and delete items.

You also have the ability to combine your items to build and track your finished goods. You can refer to this article for future reference: Combine your inventory items to build finished goods.

Please let me know if you have additional questions about inventory or anything else QuickBooks. I'm always around to help. Take care and have a great day.
