These are the steps if you're trying to set up a new user in QuickBooks Online:

  1. Select Settings ⚙, then Manage Users
  2. Select Add user.
  3. Enter your new user’s name and email address, then select Save.

Just a heads up that only the master admin can set up a new one. Each user type has a corresponding level of access. That means they have limitations to some features. These are the user types:

  • Master admin

  • Standard user

  • Company admin

  • Accountant

  • Reports only or Time tracking only user

If you want to add a user that can download bank transactions, you'll want to set up either Standard or Company Admin. Here's a reference to learn more about user types in QuickBooks Online
