We only have 3 employees and rarely ever more than 3 active jobs at a time.

If the project feature in QBO is not enough, consider using a project management app to integrate with your QBO later.

Hello there, LindseyMem.

I'd like to share an idea about the class feature in QuickBooks Online.

You can turn on class tracking so that you can get a clear picture of your profitability by business segment.

Here's how:

  1. Go to the Gear ⚙ icon.
  2. Choose Account and Settings.
  3. Select Advanced, then click the pencil icon Categories section to edit.
  4. Click Track classes to enable it.
  5. You can check the option to Warn me when a transaction isn’t assigned a class. This is optional, but it's good to turn on so when you look at reports, you know everything got classified.
  6. Under Assign classes select One to entire transaction or One to each row in transaction.
  7. Select Save and the hit Done.

Once done, you can set up your class list. This way, you can start organizing your customer and vendor transactions by class.

Here's an article that will surely help you manage your transactions by class: Track your transactions by class

Let me know if you still have questions or clarifications about class tracking. I'll be in touch, Have a great week!

Great, thanks for the quick reply. So I can just assign each job a "class"? And would I be able to run profitability reports based on that? Thanks again for you help.

Hi Archie,

I don't see a "Catagories" sections in my Advanced Settings. Is that available on the version I have? I have QuickBooks Essentials and QuickBooks Online Payroll Core, however we are considering upgrading.

Thank you for following up, LindseyMem.

As mentioned above by Fiat Lux - ASIA, the class tracking feature is only available in QuickBooks Online Plus.

In the other versions of QuickBooks Online, class tracking isn't available. However, you can upgrade your current version inside your QuickBooks Online account to use it.

Here's how:

  1. Go to the Gear icon.
  2. Choose Accounts and Settings.
  3. Click on the Billing & Subscription tab.
  4. In the QuickBooks section, select Upgrade.

Once you've successfully upgrade your subscription, you can now follow the steps provided above to turn on class tracking.
