Thank you for getting back to us here on the Community page, @jstocking-newcom.

I'll be sharing with you the steps on how to generate the names on the Transaction Detail by Account report.

Since the names (customer, vendor, employee) are added as a line item when creating journal entries, they won't be displayed under the Name column on the report. However, you can always add the Customer, Vendor, Employee columns from the small gear icon so the names added will show up from there.

Here's how:

  1. From the report's page, click on the small gear icon beside the export icon.
  2. Add the columns from there.
  3. Tap on Run report to refresh the page.

Hi there, @jstocking-newcom.

Let me share with you the information about the vendor report in QuickBooks Online. The data that appears on the statement depends on the type of report you opened. The name you enter on the journal entry is listed in each line item, that's why it will not be included in the list of transactions report.

It's better to look for a report that will show each line item on any transactions, such as Transaction Detail by Account report. You can follow these steps on how to pull up the report:

  1. Go to the Reports tab.
  2. Enter the Transaction Detail by Account in the search field.
  3. Filter the date range.
  4. Click the Run Report button to view the statement.

You may customize the report to pull up the specific statement you want to view under the Transactions Detail by Account report. After that, you can memorize it to save the modified settings on the report.

Please don't hesitate to leave a message in the comment section for your additional questions. I'll be around here in the Community to help. Keep safe, and have a great day!

Ran the report you suggested, but I see the same problem. Payments recorded by journal entry do not appear in the transaction report with the name listed in the journal entry in the name field of the report. Checking transaction do show the name. My question remains why the Name field in the journal entry is not treated as the Name field in the report.

Tried the same approach in QuickBooks Desktop for macOS. Created the same type of General Journal entry and then looked at the Transaction Detail by Account report. The Name field populates as I would expect for both Checks and General Journal entries. Looks to me like a bug in the report generation.

Hello @jstocking-newcom,

The name field will depend on the type of report and the source of the transaction. If you run a report for general transactions (for the customer, vendor, and employee) then, their names will show.

However, if you pull up General Ledger and Transaction Detail report, only their type of transactions will be displayed instead.

Just in case, I'll add these articles for future reference:

Why when Name field is selected in reports, do Name field values show only from vendor check payments but not from journal entries refecting non-checking wire transfers?

We are running a Transaction Detail report on an Expense type account representing Grants we pay to institutions set up as Vendors (non-profit accounting).

The transactions include both checks payable to these vendors and journal bills moving the funds from an Other Asset account to the Grant account with the vendors tagged in the Name field. These journal entries represent wire transfer payments to the institutions.

In the Transaction Detail report, filtered to just the Grant account, the Name field on checks populates the Name field column of the report. In contrast, the Name field column is left blank for journal entries, whose Name field is likewise populated.  The Memo/Description field populates correctly for both checks and journal entries.

In the QuickBooks Desktop for Mac, the equivalent transaction report does show the listed vendor in the Name field for both checks and journal entries.

I do not understand your statement that only the transaction type will be displayed. The Name column is an option for the Transaction Detail report, populates for checks, and populates for general journal transactions in the desktop version. Why should it not populate the Name field as well for journal entries?

Adding the Vendor in place of Name works just fine. Thanks.
