Run reports in QuickBooks Online

With QuickBooks Online Advanced, you can create your own reports using Custom Report Builder.
Financial reports provide a quick overview of your business performance to help you make informed decisions. You can run basic financial reports, focus on specific accounts, and manage how you share or print your data directly within QuickBooks Online.

Set up general report preferences
Before running reports, configure your default accounting method to ensure your data displays accurately. You’ll also need to determine if your business uses the Cash or Accrual accounting method.
Follow these steps to set up your general report preferences.Â
- Go to Settings âš™ and select Account and settings.
- Select Advanced.
- In the Accounting section, select the pencil ✎ icon.
- Select the Accounting method dropdown, then select either Accrual or Cash.
- Select Save, then select Done.
Result: Your reports will now default to the accounting method you selected.
Run a basic financial report
Follow these steps to find and generate a standard financial report.
- Go to Reports, then Standard reports (Take me there).
- Select the Find report by name dropdown to search for a specific report, or browse the provided list.
- Select the report to open it.
Note: If you use QuickBooks Online Advanced, you can use the Custom Report Builder to create unique reports.

Run a report for a specific account
You can run a report that focuses on a single account rather than your entire business.
Follow these steps to run a report for a specific account.Â
- Go to Settings
, then select Chart of accounts (Take me there). - Find the account.
- Select Run report in the ACTION column or from the View register
dropdown.
Export or email your reports
Share your report data by emailing it directly from QuickBooks or exporting it for further customization.
Email a report
- With the report open, select the More actions dropdown and select Email report.
- Enter the recipient's email address, subject, body, and file name.
- Select Excel, CSV, or PDF for the file format.
- Select Send email.
Export a report
- Select the Export/Print dropdown.
- Select Export to Excel or Export as CSV.
- Save the file to your device.
Print a report or save as PDF
Adjust layout settings like orientation and page breaks to ensure your printed reports are readable.
Follow these steps to print a report or save it as a PDF. Â
- Select the Export/Print dropdown and select Print/Save as PDF.
- Select the Orientation dropdown to choose Portrait or Landscape.
- To keep related items together, select the Smart page break checkbox.
- To show headers on every page, select the Repeat header checkbox.
- Select Print.
Note: To remove the QuickBooks Online URL from the page, update your browser settings in Chrome, Firefox, or Safari.
