QuickBooks Payments Deposits FAQ

Learn how Payments deposits work in QuickBooks Online.

Here are some frequently asked questions for QuickBooks Online Payments deposits.

How long does it take for payments from QuickBooks Online to deposit in my bank account?

As you start taking customer payments with QuickBooks, you should receive your first deposit within 5 business days after you take your first successful payment. The first deposit usually takes a little longer in order to establish the merchant account. All deposits after that should process on your regular deposit schedule. Next-day ACH deposits are subject to eligibility criteria.

Generally, credit card payment deposits will be in your account the next business day. If you signed up for the next-day deposit plan for bank transfer (ACH) deposits, your bank transfer deposits will, too. Your deposit cutoff time is 3 pm PT. Payments processed after 3 pm PT go into the next deposit.

How do I send my QuickBooks Payments deposits to a different bank account?

You need to update the bank account.

How are deposits and fees recorded in QuickBooks Payments?

QuickBooks Online automatically records deposits and fees for your QuickBooks Payments transactions. Make sure your QuickBooks Payments account is configured to match and record automatically. Don't forget to check if the appropriate accounts are selected.

How are my QuickBooks Payment deposits matched with my bank feeds?

Deposits and fees for payments processed through QuickBooks are automatically recorded to your bank account. Go to Banking, then select Match. QuickBooks automatically matches your invoices and payments for you.

How do I see which payments were included in a deposit?

In QuickBooks:

  1. Go to Sales, then Deposits.
  2. Select the deposit to see transactions that make up the batch.

In the QuickBooks Merchant Service Center:

  1. Go to Settings ⚙ and select Account and Settings.
  2. Go to Payments, then select Manage Account. The Merchant Service Center opens.
  3. Select Activity Reports, then Transactions.

How can I view my monthly statement in QuickBooks Online?

  1. Go to Settings ⚙ and select Account and Settings.
  2. Go to Payments. Under the Documents section, find the statement month you want to view.

How do I process a refund in QuickBooks Payments?

Go to the sales receipt or the payment applied to the invoice. At the bottom, select More, then select Refund to process the refund.

My customer disputed a charge (chargeback). What should I do?

Check your email for a message that explains how to accept or challenge a dispute and what to expect if you win (or lose) the dispute. All messages from us go to the email address on file in the QuickBooks Merchant Service Center.

Who in my company can or can't view my QuickBooks Payments deposits?

Those marked with ✔ can view the deposits, while the ones with ✖ can't.

How do I print or send a receipt for a payment?

Open the sales receipt or invoice.

  • To print, select Print or Preview.
  • To send, select Save and Send.

How do I handle a rejected bank transfer (ACH) payment from a customer/vendor?

Note that you need to increase your Accounts Receivable (A/R) and decrease your Undeposited Funds account. To do this, see Handle rejected or failed ACH payment from customers or vendors.

I have a deposit on hold. What should I do?

Check your email for a message that explains how to release your hold and deposit your payment into your bank account. All messages from us go to the email address on file in the QuickBooks Merchant Service Center.

My American Express payments are in my bank account in 2 business days, but other credit card payments are there the next business day. Why is that?

If you are an American Express ESA account holder, we can't offer next-day deposits to you, unfortunately. American Express controls the deposit schedule for ESA account holders. We'll let you know if that changes.
