Attach Receipts to Expense Doesn't Work Properly: Workaround Problem

I'm trying to use the new Receipts tab to (easily) attach pictures of receipts to existing expense transactions. Essentially, I go to X merchant and make a purchase with our business credit card, X merchant gives us a paper receipt, I then take a picture of the paper receipt and email it to, [email address removed]. From there, QBO pulls automatically pulls that transaction into QBO for review, I review it. I would then like to attach paper receipt to expense without creating a new expense. 

 

In a perfect world, QBO would scan my expense transactions and find matches for the paper receipts. This is how it is intended to work, however it does not work correctly (or at least, it works sporadically, unpredictably and often fails to find a match). I read on a Dec. '19 post that "our engineers are working on it,... but in the meantime there's a workaround..." For the workaround, while in an expense transaction, you click on "show existing" in the box where images go and a side window opens up that shows images that can then be added to this expense. There's a dropdown that can either be "unlinked" or "All".  Sounds good—except this also does not work correctly. In the column of images, with the "unlinked" dropdown selected, there's a long, unexplained, random list of images that are in fact linked to other transactions. 

 

So my question is, "How do I clean up this column so that it only displays images that I have recently added to QBO by emailing them to: [email address removed]." Thanks.

You can consider deleting the old receipts that we're attached to expense transactions. This way, you can clean up the images showing in the side window of the expense transaction. Let me guide you through the steps.

 

First off, let's download the attached receipts to ensure you'll have a copy of them. Here's how:

 

  1. Click the Gear icon, then select Attachments.
  2. Find images that are linked to expense transactions.
  3. Under the Action column, click the Download link to have a copy of it.
  4. Once done, click the drop-down arrow beside Download and choose Delete.
  5. Click Yes to confirm.

Please repeat the steps for the rest of the old receipts that are linked to an expense transaction.

 

After deleting those old receipts, the images showing in the side window will just show the receipts that are recently added.

Thanks for your reply. How do I sort the attachments so the unlinked attachments float to the top? Or are the only ones shown?

Also, is there a way to delete several attachments at once? It's not an option under "Batch Actions" and doing them one-by-one is becoming tedious.

Thanks for getting back here in the Community, @rem179.

 

Currently, we're unable to sort out both linked and unlinked attachments. Also, you'll have to manually delete all these transactions as pointed out by my colleague. On that note, just make sure that the Links column is blank. This way, you'll know that it's unlinked and deleted.
