Bank balance after uploading statements manually

I am uploading statements for a credit card account and it is my understanding there should be no "bank balance" reflected because that account is not connect to the bank through Quickbooks, therefore, they do not know what the bank balance is. Well a bank a balance keeps showing up and it's wrong. What are we doing wrong? How do we fix it? How will this affect reconciliation? Can we just keep going and ignore it? I am concerned because the bank balance is what appears in our chart of accounts register

Bank balance after uploading statements manually

Let's see how we can sort things out, sgriffin.

There are two ways to bring in your bank statements in QuickBooks Online. You can either connect your bank or use a CSV file to import the bank transactions.

If you connected your bank, QuickBooks Online can download 90-days worth of transactions or more. With that said, you can see the actual bank balance and the In QuickBooks balance. If you use CSV file to import the bank transactions, you can only see the In QuickBooks balance.

Note that the downloaded transactions showing in the Banking page (For Review section) will only affect your register (In QuickBooks balance) if you have added, matched, or transferred the transactions: Categorize and match online bank transactions in QuickBooks Online.

There's a possibility that you have incorrectly categorized the bank transactions. I'd recommend what you've added, matched, or transferred.

  1. Select Banking/Transactions on the left menu and go to the Banking tab.
  2. Go to the Categorized section and review the bank transactions.
  3. Undo the transactions if necessary.
You can use this link for reference: Unmatch downloaded bank transactions or move them to another account.

If the In QuickBooks balance is still not correct, we'll need to review the transactions that you recorded manually in QuickBooks Online.

  1. Select Accounting on the left menu and go to Chart of Accounts tab.
  2. Look for the bank account and click View register.
  3. You can add, edit or delete the transactions if necessary.

The transactions in your register will affect your reconciliation since they make up the balances. If the opening and beginning balances are incorrect when you reconcile the account, you can follow these links to fix them:

If you see something is off with the figures in QuickBooks Online, please don't ignore it because they will surely affect your reports and reconciliations in the future.

I've shared the necessary links and ideas that can help you get through the situation you're in. Feel free to update us if you need additional assistance in managing your transactions. Have a great day!
