bank feed changing all vendor entries when changing one

My client has a lot of paypal transactions.  I've tried to set rules based on the different descriptions, but can't get them to work. (for example: description line contains: spotify)


Now, when I change the category of one paypal transaction, QBO automatically changes ALL paypal transactions to that category.  It's really frustrating, but I can't figure out how to make it stop. 
I've noticed QBO doing this periodically on other transactions, as well.  I'd like it to just stop completely and let me categorize each transaction. (well, really, I'd like the rules to just work, LOL)

Allow me to share some information regarding categorizing transactions in QuickBooks Online.

 

Right now, there isn't a way to stop the system from categorizing transactions in the banking page. If you change the category for one transaction, this will automatically change the rest of the statements with similar descriptions.

 

I'll be personally taking note of this feature preference and relay this to our Product Developer for them to consider this option in our next updates. In the meantime, I'd encourage you to visit our QuickBooks Blog site for product improvements

well, that's annoying, the descriptions are different, it should not lump them together like that. 
I guess I'll just deal with it until I can get the rules to actually work.

I just came across this as I too am seeing the same annoying issue! Very annoying indeed, and the QBO response is less than helpful. I am particularly annoyed at this line:

Searching the forums today in hopes there are any new answers, after spending the majority of yesterday on this QBO bug. This has been happening to me since I started using QBO in 2014. We have contacted support about it several times over the years, they admit it's a known issue and "the engineers are working on it." Interesting they expect us to believe that, since QBO's entire - ENTIRE - client base is businesses, and if we told any of our customers we were "working on" a known bug that affected their account, we would have to be accountable to our customers. Anyhow, we have also hired a high $$ accounting firm that had a certified QuickBooks expert to attempt to get QBO to actually keep straight books, and 100 billed hours later, they gave up, largely due to this can of worms. The rules you set up at great time and cost don't work, QBO changes the vendor name and category every time you make a new entry, and we have to pull in each staff person to sit down and attempt to reconstruct from memory what was bought from whom, line by line. No matter what we do, we just get to keep paying our subscription and about all QBO is useful for is printing checks and writing sales receipts. The rest we have to calculate manually. Getting accurate totals from categories in QBO is a lost cause. We end up giving up thousands in deductions every year as the labor cost to straighten out QBO is more than the lost deductions, so we lose twice. Infuriating.

Can you advise if there is a fix to this error at this time. 
Each time a check is shown in my account I try to edit the Payee. When I select a payee for one particular check it changes ALL the payees for all my checks listed change to what I have selected.

I'll help you fix this, sweetpea2018.

 

Updating the payee of a single check shouldn't affect the rest of the transactions. QuickBooks will only update multiple transactions if you've selected their checkboxes.

 

To isolate the issue, you can try updating the transactions using a private or incognito window. It could be that the stored cache and cookies in the browser are the root cause of this strange behavior. Here are the shortcut keys:

 

  • Ctrl Shift for Google Chrome
  • Ctrl Shift for Firefox & Microsoft Edge
  • Command Shift for Safari

If it's now working well, go back to their regular browser and then, clear its cache to delete the accumulated junk files and start over fresh. You may also switch to other supported browsers to further isolate the problem.

This still does not fix the problem of the original question.  This needs to be fixed, it's been going on since 2014!  If I didn't do my job for six YEARS, I don't think I'd have a job anymore.  Get REAL answers, please!

For this matter, one possible reason why the changes in one transaction affect other entries is due to a certain feature.

 

Here’s how to uncheck the feature:

 

  1. Go to Banking in the left pane.
  2. Click the small Gear icon next to Export or Print button.
  3. Then, remove the checkmark on the Remember category selection or Enable suggested categorization box.


This way, you can now update the transactions without affecting others.
