create a deposit in quickbooks to match bank statement

Hi,

I'm not seeing my problem discussed elsewhere here, so here's my problem:

  • Our organization sent out a refund check for a cancelled conference to one of our members. Our bank deducted this amount from our checking account.
  • The member failed to cash the check in time, and so the bookkeeper recorded it as a return for this month.
  • But, this return didn't appear in Quickbooks.
  • In order to reconcile, the bookkeeper says I need to create a deposit in Quickbooks.
  • When I look at how to do that, I'm not seeing this same issue -- All I want to do, basically, is create a deposit to match the deposit that is showing up in my bank statement.
  • How do I do this without creating a journal entry, which I've been told to avoid?
  • I see reference to going to Banking and clicking New and then Deposit -- but then it says something about having put the money into undeposited funds first, and at that point, I lose all understanding of the process!

Can you help? It seems like it should be simple to create a deposit to match the one on my bank statement! Thanks so much in advance!

create a deposit in quickbooks to match bank statement

Good day, SueTy.

Let me share with you how to record this bank deposit in QuickBooks Online.

We can follow the usual process of recording deposits. There's no need to put the funds on the undeposited funds' account. You can follow these steps:

  1. Go to the +New button and select the Bank deposit.
  2. From the Account drop-down▼menu, choose the account you want to deposit the money into.
  3. Locate the Add funds to this deposit section and enter the return/deposit details.
  4. Click Save and close.

Once done, you can now match it to the downloaded bank transaction. Please check these articles for more details:

Hello,

Easiest thing would be to just go right to the bank register you want to add the deposit and enter it there.  Select the correct payee, and offsetting account when recording the deposit.

Thank you so much, AlexV! I'll try that tonight and let you know if I run aground.

You and the QB Community are the best! You've all been so responsive, helpful, and patient -- and I've had to ask a lot of questions over the past few months!

Many thanks again, and I'll be sure to "accept" the answer if it works when I try it tonight!
