create a deposit in quickbooks to match bank statement

Hi,

I'm not seeing my problem discussed elsewhere here, so here's my problem:

• Our organization sent out a refund check for a cancelled conference to one of our members. Our bank deducted this amount from our checking account.
• The member failed to cash the check in time, and so the bookkeeper recorded it as a return for this month.
• But, this return didn't appear in Quickbooks.
• In order to reconcile, the bookkeeper says I need to create a deposit in Quickbooks.
• When I look at how to do that, I'm not seeing this same issue -- All I want to do, basically, is create a deposit to match the deposit that is showing up in my bank statement.
• How do I do this without creating a journal entry, which I've been told to avoid? 
• I see reference to going to Banking and clicking New and then Deposit -- but then it says something about having put the money into undeposited funds first, and at that point, I lose all understanding of the process! 

Can you help? It seems like it should be simple to create a deposit to match the one on my bank statement! Thanks so much in advance!
