I’m glad you turn to the Community about your concern, mandy0915.
Let me help make sure your downloaded data are posted correctly in QuickBooks Online (QBO). We’ll have to exclude them and import the transactions again to resolve the issue.
The information we receive is dependent upon what your bank sends over to us. When importing transactions, map them properly to ensure they’ll show up to the correct column for Receive and Spent.
For the entries in QuickBooks Online (QBO), remove them first to prevent duplication. I’m here to help you through the process.
Here’s how:
- In QBO, navigate to the Banking or Transactions tab on the left panel and choose the Banking tab.
- Tap the Blue tile icon drop-down and pick your Financial Institution (FI) from the list.
- Go to the For review tab and tick the boxes for the entries you wish to remove.
- Press the Exclude button.
You can read through this article for more details: Exclude a bank transaction you downloaded into QuickBooks Online. It includes instructions on how to perform this task using a mobile device.
After cleaning up your records, let’s import the entries again into QBO. If you use the 3-column format, add a negative sign on the Amount column (-100) to mark the value of your transactions as Spent.
For the 4-column template, Spent is entered on the Credits side, and Receive is on the Debit side.
Here’s an article that covers all the details about the CSV template for bank data: Format CSV files in Excel to get bank transactions into QuickBooks. From there, you’ll learn how to refine the file format to ensure it's uploaded successfully.
