Re: delete a bank account

Hello there, @Servin70.

While I'm unable to email you from here, I'd be more than happy to help you delete a ledger account. Here's how you can do just that:

Deleting an Account in QBO

  1. From QuickBooks Online, click the Gear icon (⚙) and select Chart of Accounts.
  2. Next to the Account you'd like to remove, click the drop-down ▼ and select Make Inactive.
  3. You'll be prompted about the circumstances of deleting certain accounts. If you understand and wish to continue, select Yes.

Check out our awesome guide on deleting accounts here for more information. I've also included a brief video demonstration I made on this below:

That's all there is to it! With the help of these instructions, you can remove any unused or unneeded accounts from your QuickBooks Onlien company.  Please touch base with me should you have any additional questions or concerns, I want to ensure your success. Thanks for coming to the Community and have an awesome rest of your week.

Re: Hello ednabanatao722, Let me help you delete a bank accou...

Hi all,

I'm on Quickbooks Online right now (August 2019) and the "delete" option is not appearing when I follow these steps.  The closest thing I see is "Make inactive," but I have an account that was incorrectly added, has nearly 4000 transactions in it (so deleting one by one would be a bit of a challenge), and needs to be completely deleted. Any guidance would be greatly appreciated!

Thanks,

I'd be glad to help you today, Kat17.

Keeping your Chart of Accounts organized is my priority. Allow me to help you delete the account and transactions via QuickBooks Online.

You can choose the option to Make Inactive to mark the account as deleted. The reason why QuickBooks Online won't completely delete an account is to ensure that your transactions are intact. Whenever you need the inactive account for your reference in the future, you can simply restore it.

Make an account inactive:

  1. Go to Settings ⚙ and select Chart of Accounts.
  2. Find the account you want to hide.
  3. Select the small arrow ▼ in the ACTION column. Then select Make inactive.

I  can see how challenging it is for you to delete the transactions one by one. However, deleting them in bulk isn't an option for us right now so it has to be done manually.

You can get more details in this article: Remove accounts you no longer use.

For account discussion, feel free to reach out to our QuickBooks Online Support.

  1. Sign in to your QuickBooks Online Company.
  2. Click (?) Help at the upper right corner.
  3. Select Contact US on the pop-up.
  4. Enter a brief description of your concern then hit Continue.
  5. Click Get a callback.
  6. Enter your contact information.
  7. Select Call me.

Please get back to me if you ever need more help in deleting an account in QuickBooks. I'll be around to help. Have a nice day.

Re: Hello ednabanatao722, Let me help you delete a bank accou...

Hi, is this the same process on quickbooks online?  The account I am trying to delete has a zero balance, when I click make inactive it brings up a message "This account has a non-zero balance. Inactivating this account will cause an adjusting transaction to be created. Is this OK?"

Welcome to the Community, clairebarec.

Yes, the outlined steps above is for QuickBooks Online (QBO). If you inactivate an account with transactions, the system will create an adjustment entry to zero out that register’s balance.

This adjustment will show up on your reports, so I suggest reaching out to your accountant first before inactivating your QuickBooks register.

Let me share this article in case you need help with managing default and special account in QBO.

Re: Hello ednabanatao722, Let me help you delete a bank accou...

I’m trying to do this but the drop down arrow next to view register does not give me an option to delete. What does that mean? I’m admin and my accountant doesn’t have that option either. The account to delete is a duplicate account that has been disconnected.

Hello there, @Mirapiva.

Let me guide you on how to delete your account in QuickBooks.

You can select the option to Make Inactive to mark the account as deleted. The reason why QuickBooks won't completely delete an account is to ensure that your transactions are intact and accurate.

Here's how:

  1. Go to the Gear icon, then select Chart of Accounts.
  2. From the Action section, click the drop-down arrow▼ and select Make Inactive.
  3. Select Yes.

Deleting the account will not remove the transactions. If you want to remove the transactions associated with this account, you can check out this article for the detailed steps: Remove deleted accounts from reports.

If there's anything else that I can help you with, please let me know in the comment section down below. I'll be always around ready to help.

Re: Hello ednabanatao722, Let me help you delete a bank accou...

When I go and try to make the bank account active, it states that it is unable to do this because it is still being used for other products and services. How can I find out what 'product and services' are still attached to this bank account?

Re: Hello ednabanatao722, Let me help you delete a bank accou...

How are you, sksmith?

You can run the Product/Service List report and add the expense and income account column. To do this, click the small Gear icon and put a check for the Income and Expense account inside the box.

I've added a sample screenshot below:

By this, you'll see where the items are attached to the account. You can visit here to learn how to customize the Product/Service List report

Let me know if you have further questions about the report. I'll be right here.

Hi I'm having the same problem, however your solution didn't work because when I go into account info there is no option to disconnect this account on save. It is connected to my bank so I cannot delete it in COA. Please advise.

Thank you,

Thanks for looping in, srconnor.

I can help share additional steps in disconnecting your bank so you can delete it on your chart of accounts.

To better isolate the issue, you may want to disconnect the connected bank through the Banking page.

Here's how:

  1. Click Banking in the left panel.
  2. Choose the connected bank and click the pencil icon to Edit.
  3. You should have the option to Disconnect this account on save option.
  4. Hit Save and Close.

Re: Hello ednabanatao722, Let me help you delete a bank accou...

Welcome to the Community, evannesty.

The option to delete an account is unavailable in QuickBooks Online. However, you can make it active, so it will no longer show in the Chart of Accounts.

I'll be glad to show you how:

  1. Go to the Gear icon and select Chart of Accounts from the pop-up window.
  2. Locate the account you want to inactivate.
  3. Under the Action column, click the drop-down arrow beside View register and choose Make inactive.
  4. Confirm that you want to inactivate the account.

Just a friendly reminder, when deleting an account from QBO:

  • The account will be made inactive.
  • If the account has a non-zero balance, QBO will make an adjusting transaction.
  • Although you can make a deleted account active again, you may need to make corrections to journal entries and balances.

Take a look at this article for more insights: Disconnect or delete an account.

Hmmmm....

Similar problem here (empty account, NOT connected to bank) but clicking on "View Register" will not allow me to delete it, just "make inactive"

Re: Hello ednabanatao722, Let me help you delete a bank accou...

Hello, @jandreier.

Making an account inactive will mark it as deleted. There are just a few steps to delete unwanted accounts.

Here's how:

  1. Go to the Accounting menu.
  2. Select the Chart of Accounts tab.
  3. Locate the account you'd like to remove.
  4. Click the View Register drop-down menu arrow.
  5. Choose Delete.
  6. You'll be asked if you're sure. If you are, click Yes.

Please be reminded that deleting an account will not remove all its transactions. They will remain in the company file, so you're able to access them through reports.

Will deleting the bank account wipe the slate clean to make one able to start over with fresh entries downloaded from the same bank?

Thank you

Re: Hello ednabanatao722, Let me help you delete a bank accou...

Yes, deleting the bank account, all transactions under the For Review page will be wipe out,  Studio26.

If the account has a remaining balance, the system will make adjustments to zero it out. Check this out to learn more about the impact for doing this process: Disconnect or delete an account from the Downloaded Transactions page. This article also provides the steps to delete an account.

Re: Hello ednabanatao722, Let me help you delete a bank accou...

On the drop down arrow beside View register, i do not have an option to delete a bank account, only to make it inactive. It's a bank account I accidentally put in, so I don't want it to be inactive, I want it completely gone.

Re: Hello ednabanatao722, Let me help you delete a bank accou...

Yes, you're correct, CharlieBrown69 .

In QuickBooks Online, there isn't an option to completely delete an account to keep your record complete. You can only make it inactive.

These are the steps:

  1. Select the Accounting tab, then Chart of Accounts.
  2. Locate the account you'd like to make inactive.
  3. Select Make inactive.
  4. Click Yes to confirm.

I'm just a click away if you need more help.

I don't see the option Disconnect this account on save.

Moderator

Re: Hello ednabanatao722, Let me help you delete a bank accou...

Hello accou,

Not seeing the Disconnect this account on save option means that the account is not connected to the Banking page. You can just directly make them inactive.

Note that you cannot completely delete an account, hence, the available option is Make inactive (reduces usage) only. The associated transactions can still be pull up through certain reports.

Other than that, you can get back to us for more queries.
