Duplicate Bank Feeds and deleting bank account

I have a client and her bank feed disconnected.  When she reconnected it she somehow created a new bank account.  She reviewed and added to this other bank account for 9 months and then went back to her old bank account.  She disconnected the duplicate and now we are trying to get the 9 months of info into the old banking account and delete the duplicate.  She was told to make the duplicate bank account inactive and she thought that would delete everything but of course her expenses and deposits from that account are still effecting her PNL.  I read about using the "undo" feature and batch deleting but since it is no longer connected to a bank feed that option is not available.  She has 2000 transactions that need to be deleted.  I have QBO accountant online and wondered if there is a feature in it or if there is another way then going in and deleting each transaction one at a time.

Let me help you go over to your client's account, download the 9 months of information, and have the duplicate transactions deleted.


To answer your first concern, you can use our WebConnect feature in QuickBooks Online to get the 9 months of information into your old bank account.


Step 1: Pick a date range:


  1. In QuickBooks, go to the Accounting menu, then select Chart of Accounts.
  2. Find the bank or credit card account you want to upload more transactions into. Then select View register.
  3. Scroll to the bottom of the list.
  4. Write down the date of the oldest transaction. In many cases, the oldest transaction is the opening balance.

Step 2: Download transactions from your bank:


  1. Sign in to your bank or credit card’s website.
  2. Follow your bank’s instructions for how to download transactions to your computer. Some banks call this WebConnect. Every financial institution has different steps. Here are steps for Bank of America, Chase, and Wells Fargo.
  3. Make sure the date range for the download is at least one day before your oldest transaction.
  4. Download your transactions. Save the file somewhere you can easily find it, like your desktop.

For your second issue,  you can go to the chart of accounts and look for the inactive duplicate account so you can delete the duplicate transactions from there. If you don't see the inactive account in the lists, make sure to enable the Include inactive option and make it active again.




Once done, you can click the transaction and hit Delete. Click Yes to confirm the deletion.c.PNG


Also, I recommend editing, assigning, and categorizing your transactions. You can match them to the existing entries in the software. Just go to the For Review tab from the Banking menu. Doing so will help you ensure the accuracy of your financial records.

Thank you for your reply.  

Unfortunately I cannot go back and download the transactions for that 9 months because it is over a year ago and that new account has already been used with the bank feed so I am not sure about going back and adding a certain time period in the middle of what she has already downloaded.  Also all of those transactions for so long ago were categorized in the duplicate so going through and recategorizing would take as long as just re-entering.  


I was looking for an easier way to delete the 2000 duplicate transactions besides doing one at a time or a way to transfer the transactions from the duplicate into the correct bank account but I guess neither of those options are available.

I have a similar problem.  My client called qb and was told to inactivate old account and create new acct . After the qb tech support person  had client upload bank transactions thru the bank feed to new acct.  They now have hundreds of duplicate transactions and most of  their accts the bank balance and qb balance are thousands and one account hundred of thousands out of balance,  please help me

I'll help you take care of those duplicate bank transactions.


In QuickBooks Online (QBO), you can undo those added or matched transactions in batches. Have your client open their bank statement so they'll have a reference and an easier time locating those duplicates. 


When ready, have him follow these steps:


  1. Click the Banking tab.
  2. Choose the appropriate bank account (it should be in blue).
  3. Go to the Reviewed tab.
  4. Using their bank statement as a reference, whenever they identify a duplicate, have them tick the checkbox beside the transaction. 
  5. Press the Undo button.

They can repeat the provided steps above as many times as necessary until they're sure that they no longer have any duplicate transactions.


We can then exclude those transactions transferred to the For Review tab at this point.


Here's how:


  1. Go to the Banking tab.
  2. Choose the correct bank account. 
  3. Under the For Review tab, tick the checkbox of those duplicate transactions.
  4. Press the Batch actions drop-down menu.
  5. Click Exclude Selected.

You also have the option to remove these duplicates from the QBO company. Assuming you're still on the For Review tab, go through the steps below:


  1. Go to the Excluded tab.
  2. Click the checkbox right beside the Date column. (This action selects everything under the Excluded tab)
  3. Press the Batch actions drop-down menu.
  4. Select Delete.

After this whole process, it would be best to reconcile the bank account in question. It will ensure that the QBO bank account balance agrees to the actual bank balance. See this article for the steps: Reconcile an account in QuickBooks Online

I can see duplicates in the bank field appearing every week and it start being annoying. Is there something we can do ? Or enforce manual sync when we need it ?

I guess each banking transaction has an identifier or unique key so would that be possible to use this to avoid duplicates in the data base ? Thanks

Let's make sure to avoid duplicates in QuickBooks Online (QBO), Benjamin09.


Duplicates may sometimes happen once your bank transactions download automatically and at the same time, you've manually downloaded and uploaded a file in QBO. You'll have to exclude those transactions to remove duplicates by following the steps given by @Ryan_M.

In fact I have never manually imported files concerning the bank transactions (only once at the beginning maybe). I only click on the <Update> button to sync with the Bank. Do you currently have sync problems with BNC ( Banque Nationale du Canada) ? The duplicates appear in the <For review> section and even sometimes with different dates ( max difference of 2 days).


This problem is very important because as the duplicates do not appear in the same time, I did not notice the duplicates immediately and I had to compare the <categorized> section with the <for review> section to be able to spot the duplicated transaction and send it to the <Excluded section>.

I know how our customers come to rely on the bank feeds feature in QuickBooks Online as a way to easily add and categorize your transactions. It even saves you time during reconciliation! When issues like these arise, it's important that we're able to get them resolved so that you can get back to business as usual. Let me give you a hand with this.


As I'm sure you know, the first course of action when it comes to duplicate transactions is to check the box and hit Exclude. Once you've done that they go to the Excluded tab and will stay there unless you hit Undo and bring them back to the For review tab. Sometimes duplicates occur when you've manually uploaded transactions, but it sounds like you haven't done that, so that's not likely to be the source of the issue.

One of the first steps you should take to resolve this issue is to try some browser and internet troubleshooting steps. Attempting the steps below will let me know whether the issue you're experiencing has to do with the images and files stored in your browser's cache, or if it's an issue for our engineers to work on. Please give these a shot and refresh your feed to see if any additional duplicates come through:



If this doesn't quite hit the mark, it's also important to check that you're still able to access your financial institution's online banking portal as normal. If you're unable to access it, please reach out to the support team for your bank to help you resolve this. If you're able to access it without issue, then the problem lies with QuickBooks and we'll need to have our engineers look into this.


Contacting our team of support agents outside of the Community is the best course of action to get this resolved. They can take a look and let you know if the issue is already being looked into, and if it's not, they can make sure it's escalated appropriately. They'll need to gather some account details as well as a few screenshots and an overview of the problem, but then they can add your name and email to the list of impacted users so that when there's a fix you'll be among the first to know.
