Join nowHi there, amber12.
I'll provide steps to import the desktop files from your accountant into QuickBooks Online.
I suggest converting your accountant’s copy working file (.QBA) to a regular company file (.QBW) first with QuickBooks Desktop. This is because the accountant's copy file can only be restored to a regular company file in the QuickBooks Desktop version. Then, move the data to QuickBooks Online.
Here's how to convert the accountant's copy:
For additional information, you can check this article: Convert an accountant's copy to a regular company file.
Once done, you start now importing the data from the QuickBooks Desktop file to your QBO. You can open this article to see the detailed steps: Move your QuickBooks Desktop file to QuickBooks Online.
Please refer to this article to see a list of common errors with resolutions when converting from QBDT to QBO: How to fix errors when converting from QuickBooks Desktop to QuickBooks Online.
I'm only a few clicks away if you have any other questions. Wishing you and your business continued success.
Do you need to migrate all of data or only some transaction data from QB Desktop file?
the problem is that very first step: I can't open the files. That's the question I'm trying to have solved. How to upload when I can't open any files she has, and she's unsure how to get me the file types that I can open. I don't have desktop, only online, and she doesn't have online, only desktop, and the two don't seem to want to speak with one another.
Hello again, @amber12.
Thanks for getting back and providing detailed information about your concern. It was super helpful, and I feel like we are on the same page.
When importing data in QuickBooks Online (QBO), there are supported format, or file types need to consider. You can use either CSV (Comma Separated Values) or XLS/XLSX.
If the file you're trying to import isn't on the list of supported format, you can find a converter online.
To give you more idea about importing data in QBO, check this article: Common questions about importing data to QuickBooks Online.

I need to convert from desktop into online. I am unable to get any assistance. I am going into desktop and selecting convert to online in desktop. I am attempting to convert into an existing client that I have in the online version. This has been a complete nightmare. I am not able to do so as all my clients are grayed out.

You are unable to convert data from QB Desktop to a QBO account after 60 days old. You have to open a new QBO account.
