How do I correct my chart of accounts. My payroll information is downloading twice into the chart of accounts. I changed my checking account, now it downloads to both

Can you provide more context? Where is your payroll data being downloaded from? Are you using QuickBooks for payroll, or a third-party?

Thank you for reaching out to the Community. I'd be glad to lend a hand with the payroll information downloading in QuickBooks Online.

 

Please make sure to select the correct payroll account through the Preferences section to ensure it'll post correctly on the register. Any payroll you create will reflect on the chosen bank account.

 

Here's how:

 

  1. Click the Gear icon in the upper-right corner.
  2. Below Your Company, click Payroll Settings.
  3. Below Preferences, click Accounting.
  4. Next to Bank Account, choose an account.
  5. Click OK.

After making sure the settings are correct, I recommend matching the payroll transactions from your Bank Feeds. In case you need the steps on matching them, I'm attaching the article for your future reference:

Thx, I did all that you recommended. The problem is when I run payroll, it downloads into the correct checking account for matching, but it also shows up in another checking account. The other checking account was the initial one used when signing up for payroll. I have attached a file. The TD account is the correct account. I don't know if I can go into the other account and start deleting transactions since they will not reconcile. I also don't want this to continue. Please advise

Hi, I am using quickbooks advanced payroll. The bank feed brings in the correct information to match with payroll. The problem is that the information also shows up in another checking account. The incorrect acct. was the one that I was using when I initially signed up for the payroll service. I changed to TD bank, but it continue to show up in the first account also. I went into preferences and made sure that the correct account was listed and it is. I want to reconcile my accounts, but the account listed as "demand" has many entries that don't exist. They are duplicates of the TD entries. Please see the file. It shows the dups from the 7/5 payroll. I just want to delete the entries from the incorrect checking account and don't want it to continue incorrectly logging them. please advise

I'm here to help clarify a few things about the accounting preferences for your payroll.

 

Based on the screenshots provided, these are not duplicate accounts. When editing your accounting preferences, all past transactions on the account can be changed except for the Bank Account section. This is why the previous paychecks were still in the other account.

 

To correct this, you have to make a journal entry and transfer this to the correct bank account. However before doing that, please consult your accountant so that everything is posted correctly.
