How do I edit my company's preferences so external deposits go directly to Undeposited Funds on QBO?

I'm glad to have you here in the Community, @sheilaweigel17-g.

 

There isn't a need to set the Undeposited Funds as the account where to put the money from received payments. QuickBooks Online (QBO) automatically uses this temporary account to hold all payments until you're ready to deposit them to your bank.

 

However, if a different account is selected in the Deposit to field, QBO will use it every time you record payments. Thus, I suggest choosing the Undeposited Funds account instead so QBO will remember it going forward.

I've added a handy resource for more tips on how to personalize QBO to work the way you want it to. Outlined in this article are the steps on how to turn features on and off in the Account and Settings page: Edit company settings.

 

Also, you can run the Deposit Detail report to view all deposits, with the date, customer or vendor, and amount. Just go to the Reports menu, and then refer to the Sales and customers section.

 

Then, you'll want to customize your reports to personalize their info and formats. Simply click the Customize button, and then choose all the modifications you need. Check out this article for more details: Customize reports.
