How do I get a QB credit card payment to post to the correct revenue account? The bank register entry will not allow me to edit. Currently shows in Undeposited Funds.

When creating an Invoice/Pledge, I select a Product/Service, which during set up, was linked to a revenue account. When the customer pays the invoice with a credit card via QB, the posting in the Bank register is depositing the funds to Undeposited Funds, and it will not let me edit. But I can edit the QB Payment Fees so I can put it within a different expense account. I'm guessing it is a set up issue. Solutions? Suggestions?

I'm here to show you how to change the bank account where the customer payments are posted. It will just take a few clicks away. Here's how:

 

  1. Click the Gear icon.
  2. Choose Account and Settings.
  3. Select Payments from the menu.
  4. In the Chart of Accounts section, select the Edit icon.
  5. From the Where do you want to record payments? section, choose the correct bank account.
  6. For Where do you want to record processing fees? section, choose the proper expense account for tracking processing fees.
  7. Click Save, then Done.

This isn't a set up issue. The Undeposited Funds account serves as a temporary account that QuickBooks uses to hold payments received from invoices before you deposit them into the bank.

 

To transfer the payment to your revenue account, let's create a deposit. I'll show you how:

 

  1. Go to the + New menu and then choose Bank Deposit.
  2. Select the revenue account you'd like to deposit the funds.
  3. Choose the transaction in the Select Existing Payments section.
  4. In the Add new deposits table, add any additional items to include in the deposit.
  5. Once done, click on Save and Close.

Good morning.

Unfortunately, that did not resolve the issue.  While I understand your answer, the deposit into the checkbook is happening automatically, not needing a manual deposit to occur (as is the QuickBooks fee).  Once in the register, I can edit the account for the fee, but not the deposit.

That helps, thank you, but still does not allow me to edit the specific revenue account for the deposit.  While I want all deposits to hit one bank account, I need to be able to change the revenue account.  See attached, where it shows "Unapplied Deposits".  I need to edit that for this specific transaction, but the revenue account varies depending on the product/service invoiced.

Please know that QuickBooks Online's workflow has recently been updated. With this, you can find the Bank register option to enter all transactions including deposits and expenses in the Bookkeeping menu.

 

Here's how:

 

  1. Click the Bookkeeping menu in the left panel.
  2. Choose Chart of accounts. Then, select a specific bank account.
  3. Click the View register link under the Action column.
  4. Click the Add check drop-down arrow.
  5. Choose a particular entry and start entering details.

I need the same fix as execdir-sama-fl-. The two suggested fixes aren't working for me either. I need to be able to edit the revenue account for each payment after their posted.

@execdir-sama-fl- Does it allow you to merge the Undeposited Funds account into the revenue account (assuming you don't use Undeposited Funds for anything else)? My payment was posting into another income account that I didn't use, so I renamed the unused one verbatim to the income account I wanted the payment to post in, which effectively merged the account upon prompting. It doesn't fix the problem, but it fixed the symptom for me on this one. I don't know if QB will let you merge Undeposited Funds if it's an "Other Current Assets" account type, but it's worth a shot. Mine were both income accounts, so I was able to merge them.

I do not have payments set up through QB. I have them set up through an app that links to QB, so I was not able to customize where payments through the Gear icon and Payment settings. The Undeposited Funds solution didn't address my issue since my payment was already posted.

Since you've set up your payments through a third-party application and linked to QuickBooks Online, the program depends on the data entered from the app. You'll want to consider reviewing how the account and amounts are mapped from there to ensure the accuracy of the details entered in each payment transaction.

 

With revenue posting, revenue accounts are associated with the account you used when creating the invoice. That said, it is best to review each transaction and the income account used from the Products and Services section. Doing so will help us ensure that all information entered for these transactions is in the correct income account. 

 

After correcting the income account, the payments posted in the Undeposited Funds will not affect your bank registers unless these payments are combined into a single record or create bank deposits.

 

Once all these transactions are reviewed, everything will be posted accurately, and ensure these are matched to your banking records.
