How do I get my desktop Quickbooks to match my online balances? I just started with online and the uploaded accounts don't match.

This affects both revenue and expense as well as balance sheet accounts.

I can help you with resolving the discrepancy between your bank balance and QuickBooks balance, @dazedandconfused1.

The QuickBooks balance is the total balance of all bank transactions that you’ve added or matched to QuickBooks. While the bank balance is your bank's actual balance from the last bank feed update.

You'll need to verify why they don't match and adjust or fix them accordingly. There are several factors affecting the balances, these are the following:

  • New transactions for a connected account.
  • Outstanding transactions.
  • Duplicate transactions.
  • Edited or deleted transactions.
  • Unreconciled in the register or reconciled in error.

I recommend following the instructions under Step 4: Review any discrepancy reports from this article: Fix issues for accounts you've reconciled in the past in QuickBooks Online.

You can also check on the following article on how to correct it if you have to match the wrong transactions or categorize them into the wrong account: Unmatch downloaded bank transactions or move them to another account.

Once you're done, you can now match it to an existing transaction, add it as a new transaction, or view and review multiple matches. Refer to this article for detailed guidance: Categorize and match online bank transactions in QuickBooks Online

If you have a follow-up question about your bank and QuickBooks balance and or other questions about your account, I'm happy to answer them for you. Just post it here as a reply and I'll take a look at it. Have a good one!

How do I get my desktop Quickbooks to match my online balances? I just started with online and the uploaded accounts don't match.

Sorry, but this does not answer my question.  I had a limited amount of space to post my question and it is NOT about my bank balance.  The first thing I did after my data was uploaded to QB online was run a profit and loss and balance sheet report to see if the account balances and totals matched my desktop version that they had been uploaded from.  There are several accounts that do not tie on both the balance sheet and profit and loss.  When I look at the detail from one of the liability accounts, for example, the online account shows dates and amounts that are not posted in my desktop.  And it is many transactions over many years.  This seems bizarre to me.  I have no idea how to fix this.  Also, depending on what start date I enter, the online balance sheet gives me different totals, which may be a separate issue.

Thanks for your help.

Allow me to share some insights about conversion process in QuickBooks, dazedandconfused1.

Quickbooks Desktop(QBDT) and Quickbooks Online (QBO) are different platforms. Thus, there are some data that will not convert to QBO. That's why some data may not be imported during conversion regardless of what Online version you're converting your file. I suggest checking out this link to learn more about what data can be converted to QBO: What to expect when you switch from QuickBooks Desktop to QuickBooks Online.

Also, you might need to delete or create some transactions to correct the balances.

Additionally, once you’re done exporting your file to QBO, run both financial reports from your QBDT and QBO to check if your accounts match. You can refer to this article for the complete steps and guidelines in moving your company file: Move your QuickBooks Desktop file to QuickBooks Online.

@dazedandconfused1

You may run the the Trial Balance reports to compare. Last resort, consider purchasing a 3rrd party conversion service to fix the issue.
