How do I reconcile receipt capture transactions from the mobile app with transactions that come in from my synchronized bank account? I get 2 transactions for 1 purchase

Hi @stevenvannoy.

Welcome to the Community. I can help link the transactions in QuickBooks Self-Employed.

The Snap receipt option creates a new transaction from a physical receipt. Linking it to the data from your synchronized bank account is unavailable.

To avoid duplicates, I recommend excluding the data downloaded from your bank. Here's how to exclude using a mobile device:

  1. Go to the Transactions menu. On Android, select the menu ☰ icon and then Transactions.
  2. Select the transaction you want to exclude.
  3. Select Exclude transaction.

Another method you can try is capturing receipts outside the QuickBooks app. You can use your regular camera to get a copy of it, then attach it to existing transactions in QuickBooks.

Please follow these steps:

  1. Go to the Transactions menu. If you're on an Android phone or tablet, select the menu ☰ icon and then Transactions.
  2. Find and select the transaction you want to attach the receipt to.
  3. Select browse or Attach receipt.
  4. Select an image and then select Save.

For more information, as well as how to forward and review receipts, I recommend the following article: Record or attach expense receipts in QuickBooks Self-Employed.

How do I reconcile receipt capture transactions from the mobile app with transactions that come in from my synchronized bank account? I get 2 transactions for 1 purchase

I can share a couple of info and steps to ensure you can match these receipts in QuickBooks Self-Employed (QBSE), @stevenvannoy.

By "reconcile," I take it to mean that you'll want to match or link the receipt from your mobile app and the one downloaded from your bank (because we're unable to reconcile an account in QBSE). Since your account is connected to online banking, QBSE should auto-match these receipts with the ones from your mobile app.

If they won't auto-matched, I suggest excluding the other transaction. This way, you can prevent possible duplicates. There are two ways to do this. The first one is through the web and the other way is by using your mobile app.

For the first option (web browser), here's how:

  1. Go to the Transactions menu.
  2. Find the receipts you want to exclude and select it to expand the view.
  3. Choose the Exclude this transaction checkbox.
  4. Click Save.

For the second way (through your iPhone or Android device), here are the steps how:

  1. Go to the Transactions menu. On Android, select the menu ☰ icon and then Transactions.
  2. Choose the transaction you want to exclude.
  3. Click Exclude transaction.

To learn more about this, please review this article: Exclude transactions in QuickBooks Self-Employed.

For good practice, you can categorize your transactions to ensure they go to the right accounts.

You've got me here in the Community if you have more questions about managing your transactions in QBSE. Just add your reply in the comment section so I can assist you quickly. Take care and have a great day.

How do I reconcile receipt capture transactions from the mobile app with transactions that come in from my synchronized bank account? I get 2 transactions for 1 purchase

Hi, I'm not asking about the receipt forwarding feature. I'm using the mobile app. I go into a store and make a purchase. They hand me a receipt. I hit the Plus sign at the bottom of my screen and then select "snap receipt". Then a few days later, the transaction shows up from my synchronized bank account. I now have two transactions, the snapped receipt and the bank  transaction. It seems to me I need to be able to "link" or "reconcile" these two so that QB knows they are one and the same. Otherwise, what good does it do to snap a picture of the receipt?

Thank you

Steven

Thanks, that is what I meant by "reconcile", it is really "match" that I want to do. For whatever reason I haven't had an automatic "match" yet. It seems like there should be a manual mechanism to do this, but as long as I have a solution (exclude the duplicate transaction) I'm fine with it.

There is no exclude option on either my Android phone or tablet. I've looked everywhere. There is only modify and confirm.  Where is the exclude option?

Let me help you, Hockeyfreak.

The exclude option is on the Transactions page on your Android or IOS phone. If you're unable to find it, please update the app on your App or Google Store.

If it didn't make any difference, try to uninstall and install the mobile app.

However, if you're unable to exclude from there, you can open the program using the web instead. Then, exclude the transactions. You can follow ReyJohn_D's steps.

Also, you can check this article for more reference: Exclude or delete transactions in QuickBooks Self-Employed.

You can get back to this thread if you need more help. We're right here to assist you. Keep safe!

I opened a thread and was told "Currently, the Excluded section is not available when using the QuickBooks Online mobile app. To manage the excluded transactions, you'll have to use a mobile browser (desktop mode) or a computer browser."

How do I reconcile receipt capture transactions from the mobile app with transactions that come in from my synchronized bank account? I get 2 transactions for 1 purchase

This is an old thread, but I'm still having the same problem so I thought I'd share my workaround as it's a little different than what other people have suggested. If you snap the receipt AFTER the transaction has posted in QB, then the receipt will automatically attach to the transaction. This is annoying because you have to hold on to the receipt for a few days if your bank is slow to update online, but for me it's less hassle than downloading the image and uploading it again etc. I just have a special spot in my work bag where I shove the receipts and fish them out once a week to snap the ones that have cleared. I would rather snap at the point of purchase and throw the receipts away but this works for now. Hopefully they'll fix this soon, I'm annoyed that they rolled out a feature that looks cool but isn't fully functional yet.
