How do I set rule to post recieved payments to undeposited funds without needing to select account each time?

Hi there, distaff.

 

Thank you for taking the time to post in the Community. I'm here to provide some insight regarding this matter.

 

At this time, QuickBooks Online doesn't have an option to set a default Deposit To account when receiving payments. However, it is programmed with sticky settings which means it'll remember the last account that you used on the last recorded payment.

 

I can see how having this option would make it easier to record payments and follow the usual Accounts Receivable workflow in QuickBooks Online. Rest assured, I'm going to submit a feature request from my side, which is sent to the Product Development Team. They're constantly looking for great ideas from users, like yourself, when deciding how to enhance QuickBooks.

I wish you wouldn't.  It really is not a problem and there are real problems for them to work on. IMO

I set up a new user account. Everytime that user posts a payment, no matter whether its a card or cash, it directly posts to the checking account instead to to the undeposited payments in deposit under the other tab. how do i correct this?

I'm here to help you and provide some information about your concern. In receiving a payment the default option that will be placed in the Deposit to field is the Undeposited Funds account. The same thing if you're using online payments.

 

So the payments will be posted to the checking if you change the Deposit to field from Undeposited Funds to Checking account. Here's how to change the deposit account. If you manually receive the payment, you can open the transactions and change it to undeposited funds. Here's how:

 

  1. Look for the customer's payment.
  2. Click the transactions to expand the view.
  3. In the Deposit to field, select the Undeposited Funds option.
  4. Hit the Save and Close button.

However, if you're using an online payment, you can reach out to our QuickBooks Support to delete the payment and enter it manually. Also, check your account for why the transactions are automatically posted in the checking account.
