How to auto assign categories to downloaded transactions?

When I import my credit card items I have dozens that have AMZN in the title and are obviously Amazon. I would love to have these auto populate as Cost of Goods. Instead I have to assign them one at a time. Is there a way to write a rule that automatically puts them in the category based on the AMZN keyword?

How to auto assign categories to downloaded transactions?

We can create a bank rule in QuickBooks Desktop, ComTech1.

Through this option, all credit card transactions with AMZN in the description will be categorize as Cost of Goods Sold. Please follow these steps:

  1. From the Banking menu, go to Bank Feeds and select Bank Feeds Center.
  2. Click on the Rules button. On the Manage Rules drop-down, click Add New.
  3. In the Description line, select Contains and enter AMZN in the box.
  4. IN the Do This section, select Categorize and choose Cost of Goods Sold in the account drop-down.
  5. Hit Save.

How to auto assign categories to downloaded transactions?

I may have clicked this being an answer a bit too quickly.  I am not finding the rules button anywhere.  Is it not present in the QB Pro 2020 desktop edition?

Never mind.  Express mode is required to see the rules.  All is good!  I didn't even know Express Mode existed.

How to auto assign categories to downloaded transactions?

I have the same issue, but when adding the AMZN rule, I have this error code:

"Tell QuickBooks how to handle this rule: select something that renames the transaction"

I don't want to rename the transaction, only categorize it to the account.

is that possible?

Thanks!

How to auto assign categories to downloaded transactions?

Hi there, IbellyBAI.

Thanks for dropping by the Community, What you can do is modify the renaming rule. To do so, follow these steps:

  1. From Banking menu, select Bank Feeds > Bank Feeds Center.
  2. Select Rules in Bank Feeds window.
  3. In the Rules List window, highlight the renaming rule you need to change.
  4. From the Action column, select the drop-down and choose:
    • Edit Rule: If you need to change details of the rule. Make the appropriate changes then click Save.
    • Delete Rule: If you need to remove the rule. Click Yes when prompted to confirm if you want to delete the selected rule.

You can find these steps and much more information about the renaming rules here

Thanks for the quick reply, but it doesn't work. I edited the rule, deleted, created again, and I still get the same error.

How to auto assign categories to downloaded transactions?

Thanks for getting back to this thread, @lbellyBAI.

Let me provide some troubleshooting steps to fix this.

To do this, make sure QuickBooks Desktop is updated to the latest release, and you're using single-user mode.

Then, let's switch between Bank Feeds modes to Advanced or Express. This can help handles transactions in your Bank Feeds. Here's how:

  1. Go to the Edit menu, and then choose Preferences.
  2. On the left pane, select Checking and then choose the Company Preferences tab.
  3. In the Bank Feeds section, select either Advanced Mode or Express Mode.
  4. Once done, click OK.
