How to import a complete COA with sub account and class (like department)?

Thanks for visiting the Community, @shyuan99. I appreciate you for being so detailed about what you want to import in your QuickBooks Online. 

 

In QuickBooks, we use classes to track your transactions (by departments, product lines, or any other meaningful segments in your business) and not your accounts. Hence, it isn't included when importing. 

 

What's included in the template are the Account number, Name, Type, and Detail Type. You can also add the subaccount in the Account name column in this format: Main account: subaccount. For example, Utilities: Gas

 

To do this, use a spreadsheet in Excel and save it in CSV file format. You can download our sample spreadsheet for your reference. 

 

Once your spreadsheet is saved, you're now ready to upload it to QuickBooks. Here's how:  

 

  1. Go to the Settings menu, then click Import Data.
  2. Select Chart of Accounts.
  3. Click Browse
  4. Locate and select the spreadsheet you saved.
  5. Click Next.

 

Once done, match your fields to QuickBooks fields by clicking each small arrow icon in the Your Field column. Then, match the columns in your spreadsheet to these QuickBooks fields:

 

  • Detail Type
  • Account Name
  • Account number
  • Type

In case some fields don’t have a matching column in your spreadsheet (except Account Name), select No Match. Then, click Next. Review everything before selecting Import
