I have already reconciled my bank account and I still have things in my undeposited funds that already showed up in the bank. Can I switch them without deleting them?

I'm here to share some insights about reconciling transactions in QuickBooks Online, @ michaelwismarequ.

                                     

You can create a bank deposit and manually mark it as reconciled through the register. Let me guide you on how to do it.

 

To create a bank deposit:

  1. Click the + New button.
  2. Select Bank deposit
  3. Review the list of payments under the Select the payments included in this deposit section.
  4. If there are multiple payments shown on the list, you can click the next icon. It can be on the other pages. 
  5. Select the payment and then Save and close

 

Then you can manually mark them as reconciled. 

 

Here's how:

  1. Click the Gear icon in the upper-right hand corner.
  2. Choose Chart of Accounts.
  3. Choose and locate the appropriate account.
  4. Under the Action column, click View Register.
  5. Identify the transaction to edit.
  6. In the Checkmark column (reconcile status column), change the code to (reconciled).
  7. Click Save.

I have a similar problem - I have reconciled our bank accounts for a secondary location, and after all was said and done I found out that the person onsite was dropping them into undeposited funds. My question is, if I follow these steps and create a new bank deposit, will it overstate our cash? The deposit amount is reflected in the reconciliation report, but I need to get it out of UF. 

 

However, I have run into a BIG snafu with undeposited funds and reconciled accounts at our primary  location and I am very nervous about making any more mistakes!

Hi there, @Shannon33.

 

You can create a bank deposit and apply the pending payments on the Bank Deposit screen. Let me walk you through on how to create a bank deposit in QuickBooks Online. Here's how:

 

  1. Select the + New button.
  2. Under the Others column, choose Bank Deposit.
  3. From the Account drop-down menu, choose the account you want to deposit the money into.
  4. Put a checkmark in the box for each payment you want to deposit. Use your deposit slip as a reference to make sure that the deposit total and selected payments match.
  5. Select Save and Close.

 

Then let's first remove the duplicate transactions from your register. Once completed, we can exclude and delete it from the Banking page.

 

You can follow the outlined steps:

 

  1. Click the Banking tab.
  2. In the Banking page, tick the box for the duplicate check.
  3. Click the Batch actions drop-down arrow and select Exclude Selected.
  4. Then, let's go to the Excluded section.
  5. Mark check inside the box for the duplicate check.
  6. Hit the Batch action drop-down arrow once again. Now, you have an option there to delete this duplicate check.

Thanks for the reply! I've gotten into an issue with undeposited funds on another company and I have concerns about following these steps, as these transactions are already in the "Categorized" tab under Banking. Could I just Undo them and then categorize them correctly?

Thanks for reaching back out to the Community. Yes, you're on the right track. If your transactions are in the categorized portion of the Banking page, you can click the Undo button and edit the category in the For review section. Here's how: 

 

  1. Go to the Banking tab. 
  2. Select the Banking section. 
  3. Click the Categorized portion of the Banking page. 
  4. Locate the transaction and press Undo in the "Action" column. 
  5. Turn over to the For review section and tap on the transaction. Make changes as needed. 
  6. After you're done and the transaction is categorized correctly, hit Add
