Getting your payments tracked accurately is my priority, @dyastudio.

Let's review the bank account where your credit card payments were recorded automatically.

Here's how:

  1. Go to the Gear Icon.
  2. Choose Account and Settings.
  3. Select the Payments menu.
  4. In the Chart of Accounts section, select the account where you want to record the payments you've received.
  5. Click Save.

You can read through this article to learn more about how QuickBooks Payments deposits work in QuickBooks Online works.

On the other hand, let me walk you through in transferring your funds from the Undeposited Funds account to your desired bank account.

  1. Go to the New Icon (+).
  2. Choose Bank Deposit.
  3. From the Account drop-down, select the bank account where you want to record your customer payments.
  4. Mark the transactions you want to transfer from the Select the payments included in this deposit section.
  5. Review the transaction details.
  6. Click the Save and Close button.

For your guide, you can use the How to Use the Undeposited Funds Account to Receive Payments article. Go to the Grouped Payments section.

Hello, @dyastudio.

It's possible that the credit card payments were not applied to the invoice.  Let's first view your Open Invoices report to verify which transaction s not yet paid.

Here's how:

  1. Go to the Reports menu.
  2. Scroll down to the Who owes you section.
  3. Choose the Open Invoices report.
  4. Make sure to set the date range of the report.
    • It should be within or match the date of the unapplied cash payments.
  5. Locate the open invoice in question.
  6. Match its details with the unapplied cash payments.

If the Payment transaction matches any of the open invoices, you can follow the steps below to fix it.

  1. In the Profit and Loss report page.
  2. Click the Amount in the Unapplied Cash Payment Income.
  3. Under Transaction Type, choose Payment.
  4. Click the Payment date.
  5. Under Outstanding Transactions, check the open invoice.
  6. Select Save and close.

Once completed, the unapplied cash payments will no longer show up in the Not Specified column. You can browse these articles to get more details:
