I want to start 2020 fresh with zero transactions in my quickbooks. How do I wipe transactions, but not chart of accounts/vendors/rules?

Hi there, Jon.

 

We can wipe out your data if your account is still under the 90-day subscription. Please see this article for the steps: Delete your data and start over in QuickBooks Online

 

If it's not, you can sign up for a new account. Then, export and import your lists (chart of accounts, customers/vendors and product and services).

 

Let's export the lists from the old account:

  1. Click on the Gear icon.
  2. Select Export Data
  3. In the Reports tab, select General ledger and click on Export to Excel.
  4. Save the data on your computer.

To sign up for a new account: 

  1. Go to this page: https://quickbooks.intuit.com/pricing/
  2. Choose a plan.
  3. Scroll at the bottom and click on Sign in to add a company to an existing account. 
  4. Enter your QuickBooks Online user ID and password. 
  5. Set up your new account.

Then, let's import the lists:

  1. Click on the Gear icon.
  2. Select Import Data.
  3. Select Bank Data, Customers, Vendors, Chart of Accounts, or Products and Services.
  4. Browse the saved lists in Excel from the old account.
  5. Click on Next and continue to import.

I'll provide the two options for this. 

 

If your books are less than 60 days old, there isn't currently an option to keep all your payroll records when wiping the transactions. It won't cancel your QBO or payroll subscription, but you'll have to re-enter them. 

 

I'd first suggest exporting all the payroll reports to Excel or print them to serve as your reference. Then, delete your company data by performing the steps below.

  1. Log into your QBO account as an admin
  2. Look at the URL in your browser's address bar. Delete all the text after the last / and enter purgecompany. For example, change "https://...qbo.intuit.com/app/homepage" to "https://...qbo.intuit.com/app/purgecompany."
  3. Type Yes to confirm you want to delete your company data. 
  4. Click Wipe data.

 

If your books are 60 days old or older, these are the workflow: 

  1. Export your lists from the old account (in case you need them). Print/Export all the payroll reports
  2. Cancel your QBO and payroll subscriptions. 
  3. Create a new QBO company. For Payroll, go to the Workers or Payroll menu to sign up again. 
  4. Import your lists to the new account. Re-enter any employee or historical payroll info using the printed/exported reports.
