If a merchant fee is more than the payments received, how can I match the net transaction to clear it?

Example: I received payments in undeposited funds of $100. The merchant processing fee was $110, which will create a negative deposit. The bank feed came through as $10 in the spent column. Can these transactions be matched and cleared?

Hi there, @naturalpathstore.

 

Yes you can match and clear the negative amount for your merchant's transaction fee. After you have received the payment, you'll have to create an Expense account for the merchant fees. I'd also suggest to consult your accountant to verify the accounts before reconciling.


Here's how:

  1. From the left pane go to the Accounting menu and select Chart of Accounts.
  2. Click the New button.
  3. Choose Expense and enter the detail type that you may want to be categorized.
  4. Enter a name like Merchant Fees.
  5. Hit Save and close.

Once done, you are going to create a bank deposit. Here's how:

 

  1. In the "Select the payment included in this deposit" enter $110.
  2. In the Add funds to this deposit section, choose the expense account and enter -10 in the amount column.
  3. Hit Save and close.
