Hello, uservanessacrescio.

 

I have some important information about the migration process. I'll also provide solution to help you enter your employees' W-4 data. 

 

There are several limitations when importing payroll data to QuickBooks Online since the Desktop has more payroll features. Also, QuickBooks Online Payroll uses the most recent W-4 form. This is the reason why you're unable to manually enter the data. To fix this, you'll simply want to follow the new 2021 form. Here's how: 

 

  1. Go to Payroll or Workers.
  2. Click the Employees tab. 
  3. Select an employee to open their profile.
  4. Click the pencil icon beside Pay
  5. On section 2, click the pencil icon again.
  6. Enter their recent W-4 data. 
  7. Click Done

If you need to retrieve your employees' 2020 W-4 data for references, you'll want to re-open your QuickBooks Desktop file.

Thank you, James Paul. This is helpful. How would I process my 2020 W2 forms? I see the payroll transactions on my P&L, but it does not appear for each individual employee on my payroll reports.  I was hoping to print my W2 forms with QBO.

Hi, @ uservanessacrescio.

 

Let me share with you the steps on how to process 2020 W2.  

 

Here are the steps you can follow:

 

  1. Open QuickBooks Online and select Payroll, then Overview.
  2. From Tasks, select the Show more dropdown to view all forms due.
  3. From W-2 Copies A & D, select File now.
  4. Select Annual Forms and W-2 Copies A & D. Then, click Continue.
  5. If prompted, tell us whether or not one or more employees were active participants in a retirement plan during the tax year.
  6. On the Employer Copies: Form W-2 page, select View to open Acrobat Reader.
  7. Review and print Copy D for your records and select Submit to authorize us to file Copy A of Form W-2 electronically for you.

 

You’ll receive an email if the process is complete. Once it is completed, you can print your W-2 forms and send them to your employees by February 1. They can also view their W-2s online in QuickBooks Workforce. You can use this article to print your W2 form: Print your W-2 forms.
