The option to add notes to the overall company on how to handle transactions isn't available in QuickBooks Online, @pdebonis.

Though you can enter notes in your customers, vendors, and employees' profiles, and the Contact List report.

To add notes to your customer profiles, here's how:

  1. Go to the Sales menu, and then choose the Customers tab.
  2. Select your customer from the list, and then pick Edit.

  3. Click the Notes tab, and then add the info in the field.
  4. Hit Save to confirm the action.

To enter notes for your vendor profiles, here are the steps how:

  1. Go to the Expenses menu, and then select the Vendors tab.
  2. Pick the vendor name from the list, and then click Edit.

  3. Input the info in the Notes field, and then hit Save.

On the other hand, for the steps on how to enter notes to the employees' profile and the Contact List report can be found in this article: Add and use notes.

Meanwhile, I'd like to route you to our QuickBooks blog page to get you in the loop about the recent news and product updates. You can access it through this link: https://quickbooks.intuit.com/blog/.

Also, you can personalize QuickBooks Online to work the way you want it to. Simply change some settings in the Account and Settings page to turn features on and off. Please refer to this handy resource for more details: Edit QuickBooks Online company settings.

You'll want to use the same log-in info for multiple companies so you can easily switch between them.

I'm here to lend a hand if you've got more QuickBooks concerns. Take care and have an awesome day.

Thank you for the reply but this is not what i am looking for.  I would like to add notes to my company, not a vendor or employee or customer.  I am looking to add notes for our auditors so they can see the accounting policies we have adopted and that all our users can be on the same page.  It would act as a company wide help center or accounting handbook.

Thanks for the clarification, pdebonis.

The ones stated by my colleagues above are the only options where you can add notes. The user types of your members is also a way to help them determine what they can and can't do within the company file.

To keep track of the activities your users made within your account, you can run the Audit Log report. I'll show you how:

  1. Go to the Gear icon.
  2. Under the Tools section, click Audit Log.
  3. You can click the Filter option to select the User, Date, and Events you'll want to know.
  4. Click Apply.

You can also check or set the Accounting preference within your company to set the closing of books. This way, transactions within the closing of books will remain untouched.

Here's how:

  1. At the upper-right, click the Gear icon.
  2. Select Account and settings.
  3. From the left menu, select Advanced and click the Accounting section.
  4. Enter the details and toggle to close the books to fill out the closing date and a password in case users will attempt to edit transactions.
  5. Click Save.

These articles will help you manage your users and the types you can grant them access to and personalizing your Accounts and settings:

I'll surely take note of this feedback. I'm just around the corner if there's anything else that you need help with. You take care and have a great day!
