Missing current deposits when selecting items to transfer from undeposited funds

I just entered sales for the past couple weeks and went to enter the deposit and the items are not listed in my undeposited funds. I can see them in my transactions. I read a review to delete these and re-enter which would not be a first, second or even third choice since I have multiple line items for taxes, gift cards, etc. Please help.

Thank you for visiting the QuickBooks Community. I'll be providing details on how entries under Undeposited Funds work in QuickBooks Online. Then, ensure that transactions will appear on the Deposit screen so you can transfer them to the appropriate account.

 

Transactions shown in the Deposit screen are the invoice payments and sales receipts you've recorded under the Undeposited Funds account. This keeps payments in before taking them to the bank.

 

Since items are not listed when making a deposit, the payments could be posted to specific bank accounts. To confirm this, I recommend going to the Sales page and reviewing all payments to verify the selected account. To confirm this, you'll have to go to the Sales page and review all related payments to confirm the selected account in the Deposit to field.

 

Here's how:

 

  1. Go to the Sales menu on the left panel.
  2. Choose the All Sales tab.
  3. Locate all payments and double-click it to expand the page.
  4. Go to the Deposit to drop-down arrow and verify the account selected. 

 

Once verified that the transaction is posted to the other account, you can change it to Undeposited Funds. Then, click Save and close to save the updates. After that, go back to the Deposit screen and start transferring those UF sales entries to a particular account.

 

However, if the issue continues to occur, the cache full of history and temp files might be the reason for the unexpected behavior. I suggest logging in to your QuickBooks account using a private browser. Then, access your Deposit screen from there. This is to rule out the possibility of a webpage issue and ensure private browsing doesn't store local files or cache.

 

Use these keyboard shortcuts based on the browser you're using:

 

  • For Firefox or Microsoft Edge, press Ctrl + Shift + P.
  • For Chrome, press Ctrl + Shift + N.
  • For Safari, hold down Command + Shift + N.

 

If it works in incognito, you'll need to clear the cache of your regular browser. This clears the history or log of sites so you can start with a clean slate. If the steps above didn't work, use another supported browser as an alternative.
