Need to find all transactions categorized by a specific rule

Hi Everyone,

I created a rule to auto-categorize, and auto-confirm transactions.  The rule had an error in it and it improperly categorized a whole lot of transactions - anything under $45.  Is there a way to see which transactions were automatically categorized by that rule so that I can re-categorize them properly?

Let's review the transactions that use bank rules to automatically categorize transactions from your bank, @AvanteTec.

 

You can go to the Categorized section and filter it to Any rule to view all the transactions that we're automatically categorized using rules.

 

Here's how:

  1. Go to the Banking menu and choose Bankingbankrules1.JPG
  2. Click on the Filter icon and choose Any rule.     bsnk rules2.JPG

The feature to specifically view the transactions under a specific rule is currently unavailable. Also, here's how to categorize and match online bank transactions in QuickBooks Online.

Thanks Mary Joy,  I appreciate the very clear graphic!

While I was waiting for some input from the community earlier I went into 'Transactions->Categorized', clicked on 'Filter->Any Rule', and then sorted based on transaction amount since in this particular case it miscategorized any transaction <$45.

What I found was two issues...

1) I have several rules in place so filtering to 'Any Rule' doesn't isolate the miscategorized expenses  from rule that caused all the trouble.  There are many transactions that show up that were categorized by the other rules and so I have to click on every transaction to see which rule applied before I can undo.

2) Because the automatic rule over-wrote the payer and the memo, I have to go in and correct those two fields on every transaction.  I also have to restore the original memo because otherwise I won't easily know how to categorize the expense.

 

Your way does work, but I'm wondering if there's a way that might be simpler and more automated to undo the changes.

Hi So_Cali_guy,

 

Before recategorizing the transactions, we can disable the rule. This way, it's easier to correct the fields of the entries.

 

Let me guide you with these steps:

 

  1. Click the Banking tab.
  2. Select Rules.
  3. Locate the rule.
  4. In the ACTION drop-down, select Disable.

 

 

Once categorized, you're good to Enable it again.

 

 

When the transactions are ready to be reconciled, you can check this guide: Reconcile An Account in QBO.
