No list of bills to mark as paid

I have a credit card payment that was designated as a bill to be payed after I reconciled my statement last month. That payment went through this month and I downloaded it from my banking institution. In the past, QB would recognize it as a paid bill and Auto approve it. The dollar amounts match. In my banking transactions list, I click from the drop-down list "Select bill to mark as paid." A pop-up appears where I'm supposed to be able to select the  bill that matches. There are no bills listed to select. I know I have bills to pay, including the one that matches this transaction because when I go to the home screen and select "Pay Bills" it is listed there. It worked on a previous version of QB (Pro Desktop 2019). I have QB Pro Desktop 2020.

Thanks for sharing the details, @tdmongillo.

 

You may have marked the bill as paid and included it in the reconciliation. That said, banking isn't able to recognize or find a match for the transaction that has already been marked as reconciled.

 

I'd suggest reviewing the reconciliation to check if it was reconciled precisely.

 

Just in case you need to undo the reconciliation, you can follow these steps:

  1. Go to Banking, then Reconcile.
  2. Choose the Account from the drop-down. Then, enter the Statement Date.
  3. Click Undo Last Reconciliation.

Thanks for reaching out to help. Unfortunately, that didn't do the trick. I was able to get the transaction to automatically match in a very inconvenient back-door manner. This is how:

1. Home tab> Pay Bills: Check bill that was paid, and mark it as paid.

2. Go back to Bank Feed transactions. The payment was automatically recognized and matched to the paid bill (blue). I was able to approve it.I still don't understand why there was no list of bills to mark as paid within pop-up that opens after clicking "Select bills to mark as paid." There should have been multiple bills to choose from....frustrating. I attached a screenshot of the pop-up showing a complete lack of bills to mark as paid in my original message. Any idea why none of my bills are populating?

Hi there, tdmongillo,

 

Thank you for coming back and for explaining everything in detail.

 

I've looked into your screenshot and I can see that you haven't selected a vendor yet. Basically, you'll need to select one first, so QuickBooks will scan all the bills of the vendor and you can choose the matching one. Please see the sample in the screenshot. I'm using QuickBooks 2019.

If you can notice, the table where you can see all open bills doesn't have a name column, so we have no clue which bill is which. Therefore, you'll want to select a vendor first, so you will only see the outstanding bills of that vendor.

I thought that would do the trick as well, but it didn't. My screenshot happened to be taken immediately before I selected the vendor from the drop-down list. Even after selecting the appropriate vendor, no list of bills to mark as paid appeared. Like I said in a previous reply, I was able to resolve my issue by going to Pay Bills, selecting the bill, and marking it as paid. When I went into my bank feed the transaction was Auto recognized and I was able to Approve. However, this issue is still not resolved for me. Next month when I pay my credit card bill from my checking account, I know this same issue will arise. I'd just like to be able to find the bill in the pop-up that opens when I click the "Select bills to mark as paid" option.  Do you think it has anything to do with the resolution of my screen? I noticed when I got my new laptop (4K) that all of the menu options were tiny on the Home Page and that text that I enter in fill-able text boxes is often cut-off and/or overlapping. Is it possible that my bill to mark as paid is hidden/tucked behind/overlapped somewhere because of a screen resolution issue? Please see my earlier attachment as it is a decent example of what I'm referring to. Thanks

Thanks for getting back to us, @tdmongillo.

 

Based on the screenshot you've shared above, this may be caused by the resolution of the monitor. Since you have a newer high-resolution screen, here's how to change it to the default settings.

 

  1. Close QuickBooks Desktop (QBDT) and open the Windows Start menu.
  2. Type "QuickBooks" into the search.
  3. Right-click the QuickBooks icon and tick Open file location.
  4. In the folder, right-click the QuickBooks.exe file and select Properties.
  5. Go to the Compatibility tab and place a checkmark in the Disable display scaling on high DPI settings box. 
  6. Hit Apply, then OK.

 

Once done, re-open QBDT to double-check. If the same thing happens, consider checking out this article and proceed to Step 2: Adjust your view preferences in QuickBooks section for more troubleshooting steps: Fix screen issues in QuickBooks Desktop.

Yeah count me in also. 

 

This is a massive problem for me right now.  I have been processing transactions in bank feeds for ages, I even know there are more than one way to skin the cat.  This is not about not knowing how to match feed transactions, this is about broken screens that used to work. 

 

Suddenly same-old business-as-usual is not working whatsoever. Some update recently has broken all the 'sub screens' in Transactions List.  I don't know if this is MS or Intuits update issue (easily I could believe MS has broken this for sure) but its a disaster mess. 

 

Nothing shows for any vendors under bills. Whats worse is, if you get this far, and try to escape, at least for me, the dialog box goes black as you say "Yes discard changes". But this black window cannot be closed.  Ever.  It is stuck and you have to close all of QB.

Also the Match To Existing is broken.  Shows nothing. 

 

Before coming here I already tried all the resolution fixes etc. etc., One Window etc.  Also did data repair and file doctor and all the business, didn't find anything... . All of this worked fine a few weeks ago... something new is broken, so I can't imagine how screen settings suddenly need changing if its been working great for ages...

At this time, I'd recommend reaching out to our Phone Support for this to be investigated as soon as possible. Here's how:

 

  1. From the Help menu, select QuickBooks Desktop Help.
  2. Scroll down and click Contact Us.
  3. Enter nothing shows any vendors under bills.
  4. Click Continue.
  5. Select either Message an agent or Get a callback.

 

Once everything's fine, you're good to match the transactions.
