QB is making match suggestions in the For Review tab for items already in the bank register. If I accept the match, won't it create a duplicate bank register entry?

QB is making match suggestions in the For Review tab for items already in the bank register. If I accept the match, won't it create a duplicate bank register entry?

Hello, @kelly102.

I'll share some information about handling bank transactions in QuickBooks Online (QBO).

No, the transaction won't create a duplicate on your bank register page. QuickBooks suggests the match feature in your bank feeds to match the downloaded transaction with the one you already entered. This links them together so you don't get doubles.

Here's how:

  1. Go to the Banking tab on the left side.
  2. Click For review tab.
  3. Hit Match or Matching records found to review all the data.

For more information, check out this article: Categorize and match online bank transactions.

After that review your bank register to see how the transaction looks like after matching the data.

I've also added pages that might help you in adding account numbers, reconciling accounts, and other topics.

Your work is done. Let me know in the comment section if you have additional questions. I'm happy to assist. Keep safe always.

Thank you for your response.  I followed your directions, but when I checked the bank register, a duplicate entry had been made.

The first entry says that the $ amount was a "payment" categorized as "accounts receivable."  The duplicate entry from the match process says that the $ amount is a "deposit" categorized as "income."

Why didn't QB link the two entries as a single payment/deposit? How do I correct this going forward, as I have several more items to match?

I'm here to help you prevent bank transactions from duplicating, kelly102.

QuickBooks Online is dependent on what your financial institution shares with us. To avoid this, I'd suggest double-checking the transactions before adding them to your register. Also, manually updating the bank account can cause duplicate transactions.

To fix these duplicate entries, let's undo these transactions.

  1. Go to the Banking menu and then select Banking.
  2. Click the Categorized button.
  3. Locate the entries, then place a checkmark in the box beside them.
  4. Click Undo.
  5. Select Continue on the prompt message.

Once done, the transactions will go back to the For Review tab. You can exclude and delete them to avoid confusion in the future. I'll guide you how.

Exclude:

  1. From the Banking menu, select the Banking tab.
  2. Go to the For Review tab, then select the duplicate transactions.
  3. Click on Exclude.

Delete:

  1. From the Review tab, select Excluded.
  2. Place a checkmark in the checkbox beside the transactions.
  3. Click on Delete.

You can also check out this article that'll serve as a guide in ensuring the transactions are recorded accurately: Categorize and Match Online Bank Transactions.

Additionally, I've added our Reconcile Workflow guide for future reference. This article helps you make sure the QuickBooks amounts match your real-life bank and credit card statements.
