Donor names don't show up in bank account register after recording a donation

We're a nonprofit using QB Premier 2019 Nonprofits edition and I have an ongoing issue with how QB records donations: When I record a donation, then do the Deposit into one of our bank accounts, the name of the donor doesn’t show up in the bank account register - it's just left blank.  I have to manually click on the Payee field and select the donor’s name, then save the transaction again.  Why doesn't QB automatically carry the name over from the Deposit?

 

I have a similar issue with the Class field: if I record a Donation or Create Invoices and assign a class to an invoice or sales receipt (and/or to a line item) and then Receive Payments for that invoice, when I record the Deposit I have to enter the Class field again.  Why doesn’t QuickBooks pull that Class information from the original invoice or donation (sales receipt)?

I can see here how this feature is beneficial for you and your business. However, there isn't an option to automatically carry over the name of the donor when creating a deposit. 

 

As mentioned above, a deposit often includes multiple payments from different entities.

This is just the place to get the answers you're looking for with regards to making deposits and class tracking, @OspreyVillage.

 

To clarify, did you enter the deposit in the account register? I'd suggest making a deposit through the Banking menu. This way, you only have to select the payments you'd like to deposit so won't need to enter the entire details. 

 

  1. Go to the Banking menu.
  2. Choose Make Deposit.
    Capture.PNG
  3. Select the payments for deposit. 
  4. Click OK.
  5. Enter the necessary details.
  6. Click Save and Close.

With regards to the deposit class tracking, yes we'll have to select the class again. There are various reports you can use to run by class. check out this link to learn more: Filter, sort or total reports by Class.

There's nothing wrong. The name is not supposed to show up.

 

When you record a deposit using the deposit form, you have no access to the Payee field seen in the register.  A deposit often consists of multiple payments from different entities and showing one of the names in the register wouldn't make sense.

I always make deposits via the Banking menu or by clicking on the Deposits link from the Home screen.

I can see your point if I'm making deposits from multiple payees in the same deposit.  But most of the time, I'm depositing individual donations from one donor.  It would seem to be a simple logic model to have QB check to see if only one payee is in the deposit and allow that name to be passed through to show up in the bank register for the account.  This could be enabled either through an option in the Preferences menu or via a per-deposit option such as a checkbox on the deposit screen. 

 

It makes it a whole lot easier to track down whether you deposited a donation or sale in the correct account (other than the default one, especially) or if you've recorded that transaction correctly when you can see the payee's name in the bank register.  There have been many times where, if I had not recorded their name in the Memo field, it would have taken a lot more time to track it down or make corrections.
