How can I delete a duplicated year? I tried to delete part of the transactions to consolidate but numbers came way negative and the system didn't allow me to consolidate.

I canceled my membership last year in May thinking we were out of business for good, but then it picked up a bit this year, and just renewed my membership again with QB. So I thought I had to upload all my records from 2019 and 2020 manually because I was not seeing the records anywhere, so I did upload them manually. Then when I tried to consolidate, it duplicated both because QB kept all my 2019 records along with half of 2020 since it was barely a year of the cancelation. Now my numbers are way off and I deleted half of the transactions to consolidate but QB didn't allow me because the numbers are negative and don't match. Now I need to see if I can delete all data from 2019 and 2020 to upload them manually again and start all over with those 2 years. The tutorials I've seen tell me that if the account is less than 60 days, the account can be purged, however, my account it's not considered new because I've had the account for over 5 years even though I canceled it for less than a year. Any advice? I appreciate your support. Thanks in advance.

I'm happy to see you back here in the QuickBooks, carecleaningllc. 

 

If the transactions were downloaded from your bank account, we can exclude the duplicate ones. Here’s how: 

 

  1. Go to the Banking, and select the Banking tab.
  2. Select your preferred bank account and go to the For review tab.  
  3. Modify the Dates, and hit Apply
  4. Find the duplicate transactions and Exclude them.

However, If the transactions were already added to your chart of accounts, let’s go open your account and delete it from there:

 

  1. Go to the Accounting menu.
  2. Select Chart of Accounts.
  3. Locate your preferred account and the View register link under the Action column. 
  4. Tap the Funnel icon, and modify the information. Then press Apply.                          
  5. Click on the duplicate transactions and select Delete.  

 

I’d also recommend getting in touch with your accountant for additional guidance in deleting those transactions. This way, we can ensure your book is well accounted for after making these changes. 

 

If you’re not affiliated with one, visit our ProAdvisor page and we’ll help you find one from there. Once everything looks good, you can now reconcile your accounts whenever you're ready.
