Merging multiple QuickBooks Online (QBO) accounts into a single account for streamlined management is a significant step in consolidating your business operations, and I'm here to help you achieve this, Bray.

 

Before anything else, please know that merging company data files is currently unavailable in QBO; however, we can manually input your data into your new company using the Export and Import feature.

 

To start the process, let's export your data from your existing QBO accounts:

 

  1. Hover to the Gear ⚙ icon, then select Export Data.
  2. Choose the reason for exporting, then click Continue.
  3. Set the date from the Pre-selected date ranges ▼ dropdown.
  4. Add or remove items from the Reports and Lists tabs by turning the switch on or off.
  5. Select Export to Excel, then click OK.

If you need to export other data, such as estimates or charts of accounts, products and services, etc, please refer to this article: Export your QuickBooks Online data.

 

Once done, prepare the exported data for import:

 

  • Review and clean up the exported data files.
  • Ensure each location data is appropriately flagged or categorized to distinguish the different segments in the new account.

 

If everything is in place and is correct, we can now proceed with importing your data into your new QBO account:

 

  1. Log in to the new QBO account.
  2. Navigate to the Gear icon, then click Import Data.
  3. Choose the data you want to import (Customers, Vendors, Chart of Accounts, etc.).
    • If you have the latest version, you will encounter a Batch Import screen that displays a spreadsheet format. Proceed to import your spreadsheet using this updated batch import feature.
    • If you have the older version, you can see an option to upload a CSV or Excel file or even a Google Sheet, then go ahead and import your spreadsheet using the old batch import feature.
  4. Continue the onscreen instruction, then upload the cleaned and consolidated files.
  5. Map the Data fields from your import file to the appropriate fields in QBO during the import process.

After importing your data, I recommend reconciling your accounts to ensure accuracy and then cross-checking these data against the original data in old QBO accounts to confirm that everything is correct.

I would recommend to purchase a 3rd party service to merge your QBO accounts. You can contact @Fiat Lux - ASIA for assistance.

 

Another option, sign up for a new QBO account and use the exporter tool to proceed. Then use the importer tool to import data with locations/divisions.

Good morning Rogelio,

I have a few questions on the interactive results after merging multiple accounts into a single mother company.

Our goal is to have a mother account and three little companies into one single account. We want to be able to make transactions involving each company without logging off from one company to the other, in other words all the features QBO offers AP, AR, Chart of Accounts, Cash, etc.

Please advise.

We can integrate a third-party application to consolidate your business data into a single account, Armandoaer.

 

In QuickBooks Online, merging multiple accounts into a single mother company is currently unavailable. As a workaround, you can visit our app market to look for third-party providers that offer features and would help you make transactions involving each company without logging off from one company to another.

 

You may also follow these steps in finding applications within your QuickBooks Online account:

 

  1. Sign in to your QBO account.
  2. Select Apps from the sidebar menu, then go to the Find Apps tab.
  3. Enter a keyword in the search bar or click the Browse category button to filter the results.

 

Additionally, you can consider utilizing our Location Tracking feature to help you categorize data from different locations: Set up and use location tracking in QuickBooks Online.

You should maintain 3 QBO accounts for 3 company files with different EINs. Otherwise, you should contact Fiat Lux and purchase their service to merge your accounts.
