Reconcile a credit card with an overpayment

It doesn't matter if it's an underpayment, a full payment, or an overpayment.

Record the payment as normal, as a check (probably) written to the CC account. Basically, a transfer of funds from your bank account to your CC account.

We made an overpayment on our business card so on my statement I have a credit balance.  How do I enter that as my starting balance for the month on my reconciliation??

Thanks for joining the thread, BDavis01.

I'll share some details to help you reconcile your business card with credit balance or overpayment.

You can record a credit card credit if the overpayment appears on your statement as separate transactions.

Here's how:

  1. From the Banking menu, select Credit Card Credit.
  2. Choose the card in the CREDIT CARD field.
  3. Select the Refund/Credit radio button.
  4. Enter the exact date the credit is posted.
  5. In the Expenses tab, select the account you used for bank charges so that amount will be reversed in that account. Then, you may enter "DISPUTED" in the memo.
  6. Click Save & Close.

If your business card statement display an overpayment or negative balance, you can enter a negative amount when you begin the reconciliation process.

Here's how:

  1. Go to the Banking menu, select Reconcile.
  2. Choose the business card you want to reconcile.
  3. Ensure the Statement Date is correct.
  4. Enter the negative amount in the Ending Balance field.
  5. Click Continue button to start the reconciliation process.

In case you run into issues upon reconciling your account. you can fix it with the guidance of this fantastic resource for future use: Fix issues when you're reconciling in QuickBooks Desktop.

You're welcome to post again if you need further help with the overpayment or reconciliation procedure. Have a great day.

You don't. The Beginning Balance is whatever the last statement's Ending Balance was. Instead, enter the negative statement balance as a negative Ending Balance.

Thank you for your replies!!!  When I enter the negative ending balance ( ex: -200.00) QB does not recognize it as a negative which is resulting in my ending balance being off to the positive by that amount.  Is there a trick to entering a negative balance?

Any other suggestions?

THANKYOU!

It's odd that you're unable to add a negative amount, BDavis01.

Let's run some steps to isolate the cause of the issue. To start with, enter the amount on a private window. There are times when a browser's cache data becomes full of frequently accessed websites or damaged. You can use these keyboard keys to open one:

  • For Google Chrome browser: Ctrl + Shift + N
  • For Mozilla Firefox browser: Ctrl + Shift + P
  • For Safari browser: Command + Option + P

If you can enter a negative amount, you can go back to your regular browser and clear the cache to delete those temporarily stored files and browsing history. The overtime collection of data can create corruption, however, removing this should fix the issue. You can also use other supported, up-to-date browsers to roll out the possibility of a browser-related issue.

I've also added these references as your guide in reconciling the accounts:
