What Credit Card do you Recommend with the best QuickBooks Integration?

Hi QuickBookers,

I've been using QuickBooks for 20 years and had set up hundreds of rules to automatically assign all of my company's debit card transactions to vendors and accounts based on the transaction description. Last week, my bank suddenly decided to add the text "POS TRANSACTION #9883 POS TRANSACTION" to the beginning of every single transaction. This uses up the entire 32-character limit of the field when it is transferred to QuickBooks. So, thanks to my bank, I can no longer create rules based on the description. I can check the "Show Bank Memo" box to see the whole transaction description, but unfortunately QuickBooks cannot create rules based on the bank memo.

I think my only option is to ditch my bank's debit card and go with a small business credit card. Does anyone have any recommendations for a good small business credit card that reliably links to the Bank Feeds Center in QuickBooks (NOT QuickBooks Online... I use old-school QuickBooks on a hosted desktop in the cloud). I tried Bank of America a few years back, but it would constantly have sync errors requiring me to deactivate and create new accounts in QB all the time. I just want a really reliable credit card for use with QB that will pass the full transaction description without prepending it with useless text.

Let me show you another way to create use bank rules in QuickBooks Desktop.

 

There are three Bank Feed modes available in QuickBooks Desktop. Each mode displays and handles transactions in your Bank Feeds differently. Here are the different modes:

  • Advanced Mode
  • Express Mode
  • Classic Mode

 

You can switch to Advanced mode so that you'll be able to create rules based on descriptionmemo, and amount.

 

To switch between Bank Feeds modes:

 

  1. Go to Edit menu, select Preferences.
  2. On the left pane, choose Checking then go to the Company Preferences tab.
  3. In the Bank Feeds section, select Advanced Mode.
  4. Click OK.

 

Once done, you may now create the rules. Let me show you how to do it.

 

Like this:

 

  1. Go to the Banking menu.
  2. Choose Bank Feeds, then Bank Feeds Center.
  3. Select Rules, then Add Rule.
  4. Add a Rule Name, then select  if it’s Money In or Money Out or Both.
  5. Add Conditions and if the rule is for Any or All of the conditions for descriptionmemo, and amount.
  6. If your class tracking is enabled, add values for PayeeAccount, and Class.
  7. For Money Out rules, you can also assign a Customer:Job
  8. Once you’re done select Save.

Hi @Archie_B ,

Thank you for the advice. If I could create rules based on the Bank Memo, that would solve my problem.

I followed your instructions, but under Preferences -> Checking -> Company Preferences -> Bank Feeds I only have two options:

  • Express Mode
  • Classic Mode

I don't have "Advanced Mode".

I am using Quickbooks Accountant Desktop 2019 hosted on Right Networks, and I'm logged in as administrator to my company file.

How do I access "Advanced Mode"?

Thanks for coming back and telling us more information on your end about the "Advanced Mode" feature in Bank Feeds. 

 

Since you don't have the option, I recommend doing a few actions to help resolve the issue. Here are a few:

Thank you for the advice @Candice C .

I was already on single user mode. The updater says there are no new packages to download. I can't upgrade to a newer version because I'm on a hosted environment (Right Networks) so I can't install anything. I also can't run the verify and rebuild tool.

Can you confirm whether I should have access to Advanced Mode in QuickBooks Accountant Desktop 2019? Or do I actually need a later version?
