Community Solutions: Printing W-2s as PDFs on Windows 10

QuickBooks Desktop reads W-2s as pdf files for printing. New community member 

@ulla found a solution for potential W-2 form printing issues while using Desktop Pro 2017. Thank you @ulla for your awesome tip!

If you’re using a Windows machine and printing your W-2 forms with QuickBooks Desktop Payroll, make sure you have Adobe Acrobat Reader set as your default .pdf app. Some programs automatically reset which apps open specific file types. The solution is to simply change it back!

 


 

Be proactive and check if Adobe Acrobat Reader is enabled as your default .pdf app

 

  • Note: Adobe Reader 7.0 or later is required to print W-2s in QuickBooks Desktop Payroll.

  • Go to the Start Menu and type “Settings.

  • Select System and then Default Apps.

  • Scroll down to the bottom and select “Choose Default Apps by File Type.”

  • Scroll down until you find the line for .pdf. If you have Adobe Reader installed on your machine, you can choose it as your default.

  • If you’re using a different version of Windows, follow the normal steps for setting default apps and file readers on your system.
