How to fix reconciliation that 2 checks written to same vendor for same amount are reversed as being cleared and uncleared?

I write a check every month to a vendor for the same amount. I missed on my last reconciliation that the check numbers and dates were wrong for the cleared check and the not cleared check. The transactions were reversed. Now my next reconciliation, which I have not completed yet, is showing the oldest check written as the one to be reconciled this month. My reconciliation balances since the check amounts are the same. It’s just that the last recon shows the incorrect check and its date as cleared and the incorrect check and its date as not cleared.

Is there an easy way to fix the last reconciliation, correcting these 2 transactions? I could complete this current recon and then just manually note on my printed recon detail about the reversed check #s and dates.

Hi there, @1JKadmin. Thanks for reaching out and providing detailed information.

You can manually note on your printed recon detail about the reversed check numbers and dates to continue reconciling or undo the previous reconciliation and change the status of the reconciled transaction and select the correct check.

To undo, here's how:

  1. Create a backup copy of your company file.
  2. Once done, go to the Banking menu at the top.
  3. Select Reconcile on the drop-down.
  4. In the Begin Reconciliation window, select the appropriate account, then click Undo Last Reconciliation.
  5. A message to back up the company file before undoing a previous reconciliation is displayed. If you have already created a backup, choose Continue.
  6. Click Ok when the message Undo Previous Reconciliation has completed displays.

Take a look at this article for more guidance: Fix issues when you're reconciling in QuickBooks Desktop.

You may also wish to contact your accountant for guidance on which best suits your situation.

I also recommend reading our Reconciliation Guide to help keep your accounts balance and up-to-date.

Let me know how everything turns out, or if you have any issues after following those steps. I’m more than happy to help. Take care!

How to fix reconciliation that 2 checks written to same vendor for same amount are reversed as being cleared and uncleared?

When I undo the last reconciliation, exactly what gets “undone”? Does it just take me back to the Begin Reconciliation page to where I’ll enter the statement date and ending balance and then just mark and unmark appropriate transactions? I won’t have to go back through the whole process again to approve each transaction with payee, account, memos, etc. will I? And will it just have the transactions for this statement period or will it have also, all the next month’s transactions that I’ve added but not reconciled yet?

Hello, 1JKadmin.

Thanks for replying with details! Here to clarify on what will happen if you click the Undo Last Reconciliation button.

The last reconciliation will be undone when you click the Undo Last Reconciliation button. It will just unreconcile those previously reconciled transactions on the last statement. It won't touch the next month's batch (they haven't been reconciled yet).

To elaborate further, it won't let you go back to the whole process of approving and reprocessing those transactions again.

You can go ahead and undo your previous reconciliation then correct the checks. After correcting, simply reconcile your bank again with the correct balances and transactions.

If you need a reference on the reconciliation workflow, you can check this article: Learn the reconcile workflow in QuickBooks

Feel free to check out the articles from specific topics in the general support page. They can help you record transactions for the next statement or run reports to see how much you've earned or spent.
