I'm having a hard time finding a simple answer to this question

I'm helping a not for profit and want to get things as cheap as possible for them.  I'm considering switching from Essentials to simple start.  I only need to a) invoice members and track AR, b) pay vendor invoices and track AP and enter bank transactions.   I need to pull a balance sheet and P&L monthly.  Can I do those things with simple start?

Aren't they eligible to have a TechSoup QBO account? We may have another method to explore if necessary.

I can share some information about features that you can still use if you downgrade to QuickBooks Online (QBO) Simple Start, @lsefcik

 

Yes, you may still use QuickBooks Online Simple Start to create invoices and handle accounts payable and receivable. You still have the option of connecting or entering your bank account and transactions. You can still generate a variety of reports via the Reports menu, such as the Profit and Loss and Balance Sheet. However, creating a vendor invoice or a bill is no longer possible.

Here's a piece of detailed information about the reports available in each version of QBO: Reports included in your QuickBooks Online subscription.

 

If you have fully decided to downgrade your current subscription, you can follow the steps below on how to do it.

 

Here's how:

 

  1. Go to the Gear icon () and then choose Account and settings.
  2. Select the Billing & Subscription tab and in the QuickBooks Online section, click on Downgrade your plan.
  3. Review the available plans and then select Choose plan.
  4. Follow the on-screen steps to downgrade your plan.

You are telling me I can still handle vendor invoices and record payments to vendors, but when I clicked on the link you provided, this is what came up for payables (see attached-two screen shots).  I think this is saying that I can't go to Expenses/Vendor and create an invoice to then pull up and pay.  Is it saying I can just write a check to the vendor and it will give me a listing of the checks I wrote to that vendor?

I'm very interested in this possibility. The budget is less than $50k and the organization is a 501c7.  I donate my time to help them with the accounting.

I appreciate you for coming back to the thread and add some clarification about your concern. With this, I'll be sharing further details about the features available in Simple Start or what are the advantages of using this version are.

 

Creating an invoice and track Accounts Receivable is available in all versions of QuickBooks. However, paying vendor bills using the Pay bills feature and track accounts payable is only available in Essentials and higher versions. Then, you can only create an expense or check transaction to trace all vendor's related entries. Furthermore, as mentioned above, connecting or entering your bank account or bank data is possible in all versions of QBO. You'll just have to link your bank or credit card transactions in the system.

 

On the other hand, running a Balance Sheet and Profit and Loss reports monthly is available in Simple Start. To achieve what details you want to view from the said reports, you'll have to customize them. You can click this article to see the steps on how to perform the process: Customize reports in QuickBooks Online.

 

Then, yes, you'll have the same Chart of Accounts and can make journal entries using the Simple Start version of QuickBooks Online.

Thank you for the techsoup option.  It seems that option only applies to a 501c3 or a library.  The organization I volunteer for is a 501c7. Thank you though!
