I'm getting an error message which can't be avoided when trying to use the integration of Amazon Business with Quickbooks:


We couldn't Add the transaction(s) due to "You cannot enter more than 21 characters in the doc_num field. You tried entering Feb. 2021 ..., which is 28 characters.". Try again later.


This only happens on around 20% of my transactions but it's very frustrating as I don't enter any info in the 'doc_num' field - it's auto-populated by the API.


I tried calling Amazon and Quickbooks but they both said they weren't responsible and I should phone the other company....

Let's perform some troubleshooting steps to isolate the issue. To start, let's access your QuickBooks Online account using a private browser. There are times that cache and cookies stored on the browser cause problems when running websites. 


These shortcut keys you can use:

  • Google Chrome: press Ctrl + Shift + N 
  • Mozilla Firefox and Microsoft Edge: press Ctrl + Shift + P
  • Safari: press Command + Shift + N


Once signed in, integrate Amazon Business to QBO again. If this works, please go back to your regular browser and clear the cache. If not, you can use another supported browser. It could be that the one you're currently using has a temporary issue with QuickBooks.

However, if the issue persists, I recommend contacting the Amazon technical support team again. This way, they can provide information for the steps you need to do.


Also, in QBO you can easily upload transactions manually using CSV file format. Then, once transactions are already in, you'll now need to categorize and match them in QuickBooks.

That's not working as Amazon is saying the integration is made by Intuit so it would need to be fixed on the Quickbooks end.

Thanks for attaching a screenshot with the error you're prompted when adding transactions. The error appears when the system recognizes more than 21 characters in the Description or Category field. You'll want to edit your file in Amazon by reducing the number of characters in the description field before adding them into QuickBooks.

Hi Catherine,


Can the Quickbooks Labs team not update the API so when it pulls the descriptions from Amazon it limits the number of characters it imports?


As a programmer, I know this would take a Quickbooks engineer less than 2 minutes to write and will mean people using the app don't have to do a strange workaround of having to edit the Amazon descriptions before they are imported into Quickbooks.


I'm assuming the Quickbooks Labs team who worked on the API still works at Intuit and so could the error message be sent to them as I'm sure they could fix it within an hour!

Thanks @LieraMarie_A, I've posted on the Developer Support portal but this appears to be for people who are actually making apps for Quickbooks.


Is there not a way for Intuit to look up who made the app in the Quickbooks Labs team and ask them to fix it?
