E-Sign for estimates

Would be nice if our clients could e-sign our estimates right from the intuit email!

Thank you for your suggestion, that is a great recommendation!  Are you thinking digital hand-drawn signatures or just a fillable form field, similar to what you find on an interactive PDF?

@JulianC and @dlu might be interested to hear more about what you're envisioning.

Hi, 

Yes, it would be similar to a "signature block" you would find on Docusign or Echosign. Currently, we download the invoice and upload to adobe echosign for signature. It would be nice to send out an estimate and have the customer e-sign right on the spot!! We are doing too many unnecessary steps in my opinion!

Thanks for the feedback @Juan. Are you only concerned with estimates or sales forms in general? 

 

It looks like signature capture is available for the QuickBooks mobile app, though this is aimed towards "out in the field" use which I don't think you're aiming towards.

Im a mobile plus user. I would like to email an estimate and have the customer sign right from the quickbooks email they receive with the attached estimate.

Yes, this e-signature is on your own mobile device only. Customer has to sign it on your phone. This is not from mobile to mobile e_signature feature.BE83FEA4-ED0A-419B-AA82-5C0A84542308.png

Yes, we don't use the mobile option. 

It would be nice to have it when sending the estimate through the QB online email option.

Yes, we use a 3rd party, but this is an extra step or two!! 

 

QB needs to add this feature soon!

We appreciate the feedback! I will send this up the chain as best I can.

Out of curiosity, why are you interested in getting a customer signature for an estimate? I totally understand the need for sales receipts, but since the status of an estimate is always in flux, would the signature just be for verification /acknowledgement or do you see it as a semi-agreement?

In the construction industry, we send out "change orders", in the form of estimates for the client or builder to sign off. Right now, we download the estimate/change order, then upload to 3rd party software for e-signature, once it is signed we create an invoice from that estimate.

 

If QB online had this feature, we would send the change order/estimate directly to the customer for signature, then the client can e-sign and the system will return a signed estimate that can be converted to an invoice. 

 

It would really help our process and save a ton of time. I am sure anyone on the construction industry using QB will be really happy if you added this feature!

Juan, You are looking for a document management software with a workflow engine. Currently you simply have a digital signature app which you manually need to upload documents to and is multi-step. Quickbooks is an accounting package that would integrate with a document management software (DMS) for this automation but also to store all related documents. A solution that could work for you would be upon creation of an estimate it is sent to your DMS. The DMS can be configured to auto email the received estimate directly to the designated email on the account. The client would securely log-in (authenticate) and review and digitally sign. They can do this from their mobile device, tablet or computer. Once signed the document would be sent back to designated user/group and notify accordingly. The data could then be auto pushed into quickbooks which would update and generate the invoice. Happy to discuss further with you.

I’m a plumbing contractor and all the time I send my estimates out to clients, whether they are homeowners or contractors and I need signatures before I perform work. It would be amazing if they could open up the email on their phone, click a link, and sign it exactly how they can on my phone. The problem is I’m never with them when they get the estimate. It’s nice that they can sign on my phone, but not super practical with most of my estimates. I need someway for them to sign without us together. Thanks!!!

In the state of Utah, you have to have a signature for any work performed over $300. So if I give them an estimate for $1,000 and then do the work without a signature, they can argue that they didn’t know the price. It just makes collecting payment easier and safer, and it’s legally required in Utah. Thanks!!

That's a great use-case for a signature feature, thank you. So, it's not necessarily a matter of getting the signature in real-time, but the ability to send estimates securely over the web so the customer can sign before you start work, that would be most helpful to your operation?

there are several 3rd party apps that integrate with QuickBooks to achieve this need of digital signatures.

The limitations that several users seem to be experiencing is in regards to document management workflow automation. While QuickBooks offers the ability to filing/archive electronic documents it is not a document management software and it lacks many features and capabilities that can improve your processing of documents. Within the Intuit app store there are several 3rd party apps that integrate with QuickBooks and allow you to store all documents within a 3rd party app and let's you take advantage of additional features such as digital signatures for internal and external users, electronic forms, retention policies, ability to search the text of documents, integration with MS office and ability to create packets of all documents related to an invoice # or purchase order # or check # for example. Thanks! However, for $40-50/mo we should be able to at least get a signature on an estimate- Don't you think? Pretty basic. 

We use 3rd party Apps, but we should not have to for this feature at least.

Get an electronic signature on an estimate when emailing an estimate from QB online.

Yes, absolutely! We send out the estimates and they get approved at their convenience.
