Restrict User to view the Dashboard and Access to Expenses


Would like to know if there is a way we can restrict the standard user to view all the expenses and the dashboard?  Is there any QBO online package that has more options to choose the users access/permissions?

Hi there, @cla.


It's nice to see you here in the Community. I'm here to share some information about user access permission in QuickBooks Online (QBO).


You can edit the standard user's permission limited specifically to Customers. This way, the user won't be able to view the expenses on your QBO account. However, the option to restrict the user to view the Dashboard is currently unavailable in any versions of QBO.


To edit the standard user's permission, here's how:


1. Click the Gear icon on the upper right.
2. Choose Manage Users under Your Company.
3. Select Edit (on the right side of the user's name) under Action.
4. On the How much access do you want this user to have?
, choose Limited.
5. Put a checkmark on Customers.
6. Once done, click Save.

While this option isn't available yet, I would highly recommend submitting feedback and suggestions regarding this directly to our product developers for consideration in future updates. This can be done directly through your account by clicking the Gear icon in the top right corner, then select Feedback or by going to this link:

Thank you for the reply. 


So when we just allowed the user for the customer, he would not be having an access to generate PO's and enter supplier bills?.. we wanted to restict the person to view/edit/access the "expenses transactions" only, is there an option?..  Is there any other QBO version/package wherein there's more options for permissions?

Thanks for getting back to me and for clarifying your concern. I'm here to help make sure this is taken care of.


Currently, QuickBooks Online (QBO) doesn't have the option to restrict a user to view, edit, and access Expense transactions and have the ability to generate Purchase Orders and Enter Bills at the same time. This goes to any version of QBO.


I can see how this feature would be helpful for you and your business. I'll be sure to pass along your request to see more option within the program for these permissions. I encourage you to submit feedback as well if you haven't yet. These requests and suggestions are forwarded to the Product Development Team for consideration in future updates.


QBO is constantly changing and evolving based largely on the requests of users, like yourself. You can follow the same steps I've provided above on how to send feedback and suggestions.

Restrict User to view the Dashboard and Access to Expenses

I am evaluating QBO, I have found by setting up a limited user with only supplier access. (Supplier access i.e Creditors, means they should have the ability to raise PO and post Supplier invoices.


WHY would they need to see your entire bank ledger? If you dont understand what I mean by this... In simple lament terms, our entire bank register is accessible through the expenses tab.


If whilest logged on with a limited access user -- navigate to expenses -- sub menu "expenses" the limited user is able to see all your private financial information.


I think developers should consult with industry specialists before marketing a product.


This product is useless to me and just about every business who purchases it.
