I have a new client that I have recently integrated Square with QuickBooks. Everything seems to be running smoothly except for one glitch that I found. Square has put a few transactions as Deposits (using the Sales of Product income account) instead of a Sales Receipt. What I have found is that some of these transactions were key entered with their credit cards, some are tax exempt, and there is a refund thrown in there. Why is this happening? Has this happened to anyone else? I have tried contacting Square and they said that it was a QuickBooks problem. I tired contacting QuickBooks and they said that it was a Square problem. So, I'm stuck without any help and figuring it out on my own. Even if it was because the payment was entered without the invoice being closed, it should have eventually canceled out when the invoice was closed. I do not see any Sales Receipts for these and they show as closed in Square. I'm thinking that I could transfer these few to the correct income account and that it would be correct because sales tax wasn't collected on most, but I would like to prevent this from happening. Is it something that my client is possibly doing on her end? Thanks so much for your help and experience with this!
Hello, Jenn-Harmonized. I want to make sure you'll be guided to the right support.
I'd like to check this for you and get it taken care of myself. However, as much as I would like to get this handled directly, deposits and other Square transaction requires pulling up your account information, which I am unable to do in this public forum.
I know you've already called in. However, I still suggest getting in touch with Square Support. They'd be able to check on how your client's account is set up and prevent this from happening in the future.
To help you with managing your Square transactions, you can read through this article: Connect your Square account to QuickBooks Online. This will provide you tips to ensure the product and service names in QuickBooks match up exactly with what you have in Square.
Please know that I'm just a post away if you have any other QuickBooks concerns. I'll be delighted to be your guide once more. Have a great day ahead.
I contacted Square a couple of times. One time, the rep completely disregarded me, suggested that I contact QuickBooks again, ended the conversation, and didn't give me a chance to respond. I'm just going to go back and forth and I really don't have time to do that. I was hoping that someone would be able to help me here. Thank you for the response! Those are the links that I have been provided with before, but I do appreciate it. I have a meeting with my client this week. Maybe she'll be able to give me some hints.
